JOB SUMMARY

Under the general supervision of the warehouse supervisor, the incumbent is responsible for computerization of stock records; maintenance of stock records; maintenance of stacks; supervision of deliveries and supervision of staff.

MAIN DUTIES

1.       COMPUTERIZATION AND MAINTENANCE OF STOCK RECORDS

1.1.    Captures data of stock figures in the warehouse to maintain receipt, issuance and balance of stock in the warehouse.

1.2.    Updates data of the stock records in order for the records to reflect changes of stocks in the warehouse.

1.3.    Records receipts, issuances and balances of stock on the stack cards to verify the correspondence with the captured information.

1.4.    Files the notifications of shipments for maintenance of record and photocopies to all warehouses for information.

1.5.    Files the returns from the warehouse to necessitate or ease their postings into the Import Split register.

1.6.    Posts the information from the notification of Shipments into the Master Shipping Register to facilitate the preparation of the Shipping Chart.

2.       MAINTENANCE OF STACKS

2.1.    Assists Warehouse Assistants in stacking the commodities on the pallets to ensure that they are kept in good condition.

2.2.    Records the number of food commodities in the stack cards in order to simplify stock checking.

2.3.    Conducts physical stock counting once a week to detect theft and pilferage.

3.       SUPERVISION OF DELIVERIES

3.1.    Accompanies the truck to the points so as to ensure that the commodities are directed to the beneficiaries.

3.2.    Delivers letters denoting dates of distribution, distribution points and the lists of beneficiaries to the village Disaster Management Teams to sensitize the beneficiaries.

4.       SUPERVISION OF STAFF

4.1.    Assists Office Assistants on loading and offloading so that there is no damage made on the commodities and no physical harm caused on them.

4.2.    Guides Warehouse Cleaners to ensure cleanliness in the warehouses.

4.3.    Convenes weekly meetings with supervisees to facilitate planning and reporting.

4.4.    Conducts quarterly individual meetings to review progress on the work plans.

4.5.    Assists annual performance appraisals on the individual supervisee to assess their performance and determine their successes and failures.

4.6.    Identifies the training and development needs of individual supervisees and establishes strategies to guide on their training and development so as to promote their capacity, competence and effectiveness.
