Position overview:

The warehouse and distribution manager will lead the PIH Lesotho warehouse and distribution unit which supports rural hard to reach sites, MDR TB program and all health facilities supported by PIH under health reform program.

Key responsibilities:

  1. Ensuring accurate inventory levels, tracking stock movements, and conducting regular stock checks to maintain optimal inventory accuracy.
  2. Overseeing the receiving of goods into the warehouse, verifying shipments against purchase orders, and coordinating timely dispatch of goods to requesters or other departments.
  3. Strategically planning and arranging the layout of the warehouse to maximize storage capacity and optimize workflow. Implementing proper storage techniques and ensuring goods are organized, labeled, and easily accessible.
  4. Maintaining a safe and secure working environment for warehouse staff. Implementing safety protocols, conducting regular safety inspections, and ensuring compliance with PIH health and safety regulations.
  5. Supervising warehouse staff, assigning tasks, and providing training and guidance as needed. Monitoring employee performance and addressing any issues or concerns.
  6. Responsible for providing oversight in maintaining the Asset Register of the following procedures, to collect and enter the minimum asset information and update existing asset information into the Asset Register.
  7. Upon receiving the asset, the end-user or department shall ensure the asset is properly tagged and that said tags remain affixed and legible for the duration of allocation.
  8. Maintaining accurate records of inventory, stock movements, and other warehouse-related data. Using OpenBoxes and others existing systems to generate reports on inventory levels, order fulfillment, and other performance metrics to support decision-making and ensure transparency.
  9. Collaborating with other departments, such as procurement, logistics, and customer service, to ensure smooth coordination of warehouse activities.
  10. Shall ensure that the Asset Register accurately reflects assets information throughout its life cycle on a monthly basis. And in conjunction with the Procurement Unit shall perform an annual inventory control and in doing so update the AR.

Qualifications and Skills:

  • Bachelor’s degree in logistics, supply chain management, or Bcom with experience in warehouse management, distribution, or logistics operations, plus Masters of Business Administration (MBA).
  • Proven experience in warehouse management, distribution, or logistics operations.
  • Strong knowledge of inventory management principles, distribution strategies, and warehouse best practices.
  • Proficiency in using warehouse management systems (OpenBoxes) or other relevant software.
  • Excellent leadership, team management, and interpersonal skills.
  • Analytical and problem-solving abilities to identify process improvements and resolve issues.
  • Strong communication and negotiation skills.
  • Knowledge of safety regulations and experience implementing safety programs.
  • Ability to work in a fast-paced environment and meet tight deadlines.
