Purpose of the Job
To provide general administrative support to the department for the effective implementation of the departmental work plan and daily routine work.
Main Functions
- Provide timely operational support.
- Assist in activity planning.
- Prepare operational work schedules and follow up on implementation.
- Coordinate and engage in logistical and technical support work.
- Assist in improving operational processes and systems.
- Prepare office communications and draft reports.
- Handle operational communication and updates.
- Assist in compiling and maintaining data for budgets and activities.
Specific Responsibilities
- Assist the Travel and Accommodation Unit in daily travel coordination within the mission.
- Contribute to the administration of official travel, including clearance processing.
- Calculate airfares, baggage allowances, airport fees, and subsistence allowances.
- Inform staff on economical travel routes and plan itineraries.
- Verify the completeness and compliance of travel claims before submission to Finance.
- Coordinate with Finance on travel reimbursements.
- Match claims with travel authorizations and supporting documents.
- Prepare amendments to travel documents where necessary.
- Ensure the validity of budget allocations and expense codes.
- Check systems to avoid duplicate travel claims.
- Determine reimbursable amounts for travel.
- Engage relevant departments for clarifications and issue resolution.
- Verify airline services before invoice processing.
- Ensure compliance with procurement procedures for ticket purchases.
- Coordinate official AU flight travel arrangements.
- Communicate arrival information to relevant units.
- Perform any other duties assigned by supervisors.
Additional Responsibilities
- Assist in day-to-day travel unit operations and coordination.
- Process travel bookings and purchase orders using the Amadeus system.
- Support the issuance of air tickets for staff and delegates.
- Use the SAP system for travel requests, purchase orders, and reporting.
- Guide staff on cost-effective travel planning.
- Review travel claims for accuracy and compliance.
- Support Finance in resolving travel-related issues.
- Promote compliance with AU travel policies.
- Monitor and close outstanding travel obligations.
- Draft travel-related reports and correspondence.
- Prevent duplication of claims in information systems.
Academic Requirements
- University Diploma in Transportation, Logistics, Fleet Management, Tourism Administration, or a related field.
- Minimum of 3 years of relevant administrative experience in similar international organizations.
Desired Qualifications
- IATA Diploma in Travel and Tourism.
- Certificate in Global Distribution System (GDS), preferably Amadeus.
- Experience with airline or travel agency operations.
- Experience using SAP ERP systems.
- Familiarity with AU or international organization procedures.

Tenure of Appointment
Regular three-year contract with a 12-month probation period. Renewable subject to performance and funding.
Remuneration
- Base salary: US$15,758.00 per year (GSA 5 Step 1).
