The purpose of this position is to enable the smooth changeover and coordination with the Transition Team of all agreed clients transition plans
What you’ll be doing


What would make you a good fit for this role?

Project and Transition Management

  • Works according to standard methodologies and task lists to plan for a service transition
  • Customizes task lists for specific client requirements
  • Co-ordinates the tasks on the task lists with the required parties
  • Updates agreed timelines are reflected in detailed schedule information. Contributes to the identification of resource requirements and will take instruction on who to include in the service transition process
  • Monitors and updates the plan to ensure that every transition plan is prepared, configured and equipped to operate and support the client service according to agreed Service Level Agreements.
  • Validates service offerings and complete the required testing to ensure service delivery.
  • Initiate and co-ordinate asset management, supplier management and vendor management processes as required.
  • Acts as point of escalation and will be required to problem solve on operational issues. More serious issues need to be escalated to more senior team members.
  • Remain current of developments in the transition management arena and maintain their expertise on transition management approach and methodology.
  • Plans and co-ordinates testing, training and change management activities
  • Delivers transition work on time and in line with the agreed standard of quality.
  • Takes small to medium size transition from original scope through to final implementation
  • Manages and delivers small to medium size transition and changes and delivers to agreed scope, time, budget, quality standards.

Transition Administration

  • Collates and prepares all project related documentation and reports
  • Provides general administrative support, co-ordination of meetings with a variety of stakeholders, including vendors and managers and the booking of meeting rooms
  • Assists with the monitoring of cost related projects by tracking invoices and payments in relation to the project budget and monitoring costs versus the bud
  • Assists with the allocation of project resources
  • Maintaining and monitoring transition plans, transition schedules, work hours, budgets and expenditures
  • Produce and maintain transition reporting dashboards and other reports as required, related to new business transitions

Relationship Management

  • Able to communicate with stakeholders at all levels
  • Establishes relationships with the client contact person and negotiate and agree timelines for service handover and activation.
  • Ensures that all parties remain informed throughout the process by preparing the required communication on a regular basis.
  • Facilitate meetings to transition plan, update to support throughout the process.

Knowledge

  • Matric or Equivalent
  • 3 – 4 years project / transition administration experience
  • 5 years BPO or Contact Centre experience
  • ITIL Foundation an advantage
  • Budget Management experience
