KEY DELIVERABLES:

The purpose of the Administrative Assistant: Organisational Design is to provide administrative support relating to Organisational Design and Job Evaluation by assisting with effective planning, record keeping and maintaining of all documentation as and when required to operate.

  • Coordinate the necessary meeting documentation and meeting packs;
  • Oversees logistics and preparation of materials for meetings;
  • Schedule and coordinate job profiling and role clarification meetings;
  • Ensure all signed job profiles are timeously submitted for filing;
  • Align and format all job profiles to ensure job profiles are according to professional standard;
  • Draft and type letters, memos and ensure that all documents are formatted to a professional standard;
  • Coordinate the signatory of job profiles through the Organisational and Job Evaluation Officer
  • Obtain position specific information as requested;
  • Attend and minutes proceedings of meetings related to job profiling as directed by the Organisational Design and Job Evaluation Officer;
  • Promptly and attentively respond to customer requests within established parameters and time frames;
  • Assess or check with customer to ensure solution meets request;
  • Track commitments, report deadlines and manage follow-ups;
  • Process all documentation according to company policies and procedure as well as document control principles within specified set times frames to ensure compliance;
  • Ensure Supply Chain management process are followed when making necessary travel arrangements, including flights, accommodation, hire cars, etc. for the section;
  • Prepare quotations, requisitions and receipting on SAP for Goods and Services received and ensure invoices are paid on time;

MINIMUM REQUIREMENTS:

  • Grade 12
  • Three (3) years Human Resource Management (NQF 6) Diploma
  • Minimum three (3) years’ administration experience of which one (1) year job profiling experience will serve as an added advantage
  • Intermediate Excel and PowerPoint Skills

APPOINTMENT

The above-mentioned position will be offered on a 3 months’ contract.
