Summary

The Strategy and Administration Specialist – Talent & Culture (T&C) will support the T&C leadership team by facilitating department-wide projects and enabling successful progress towards launching new T&C initiatives. Reporting to the Chief Talent & Culture Officer (CTCO), they will be hyper-organized to ensure activities are coordinated and streamlined within the department based on the priorities of the department’s sub-teams including DEI (Diversity, Equity & Inclusion), Learning & Development (L&D), People Operations, Recruiting and Human Resource Business Partners (HRBP) functions. Further, this role will provide the foundational support needed to increase collaboration, communication and transparency between T&C staff and other WMF staff. They will also seek to help keep T&C subteams aligned with our departmental and organizational OKR goals and team priority roadmaps.

We’d like you to do these things:

  • Provide the CTCO with regular administrative support, including calendaring and expense management 
  • In coordination with project stakeholders in various teams, build decision making and accountabilities matrices for overlapping team projects within T&C, including determining clear stakeholders, decision making rights and commitment timelines.
  • Facilitate and coordinate cohesion among teams working on overlapping projects.
  • Maintain an understanding of deliverable timelines and make adjustments to ensure that stakeholders have an awareness of emerging project timelines.
  • Track status of projects and provide weekly/daily status updates.
  • Enforcing information flows to improve communication and cohesion among teams and departments.
  • Schedule and facilitate meetings, identifying necessary attendees based on project overlap.
  • Develop agendas for all-team meetings and create all-team communications.
  • Partner with the internal Admin team for scheduling logistics related to cross-team projects and department gatherings.
  • Coordinate venue, location and activity planning for group and team events.

We’d like you to have these skills:

  • Ability to establish clear systems for project participation across multiple teams and departments.
  • Comfort in pushing back on bottlenecks in order to keep projects on track.
  • Understanding of best practices for cultural inclusivity to ensure project work reflects multiple perspectives.
  • Experience building scalable workflows to keep cross-team projects on budget and on time, supporting project leaders to ensure work is in scope and remains aligned to strategic goals throughout the implementation phase.
  • Experience creating clear and realistic timelines, tracking progress and helping the team stick to deadlines, always considering the dynamic and flexibility of the process.
  • Ability to break down complex, long-term workstreams and define action items for the team.
  • Experience identifying blockers and other issues throughout the process and ability to participate in design and application of remediation strategies, including inclusive retrospectives and clear documentation as necessary.
  • Experience in managing projects using Asana or similar project management and progress tracking tools.

  • Experience working with organizations both inside and outside the U.S.
  • Experience working in the non-profit sector and/or a tech-focused organization.
  • General understanding of the existing landscape of the Wikimedia movement.
  • Passion for our mission to share free knowledge with the world.

The Wikimedia Foundation is a remote-first organization with staff members including contractors based in more than 50 countries. Salaries at the Wikimedia Foundation are set in a way that is competitive, equitable, and consistent with our values and culture. The anticipated annual pay range of this position for applicants based within the United States is US$58,633 to US$95,772 with multiple individualized factors, including cost of living in the location, being the determinants of the offered pay. For applicants located outside of the US, the pay range will be adjusted to the country of hire. We neither ask for nor take into consideration the salary history of applicants. The compensation for a successful applicant will be based on their skills, experience and location.
