Key Responsibilities:
1. Administration
- Communicate vital stock information to Management and staff.
- Coordinate with reception for function sheet updates.
- Liaise directly with suppliers to ensure orders are received accurately.
- Ensure compliance with Lodge policies and procedures across the department.
- Collaborate with team members to achieve departmental goals and objectives.
- Operate office equipment to facilitate daily tasks.
- Maintain an adequate supply inventory within the department.
2. Inventory and Stock Control
- Conduct rolling stock takes with management, ensuring accurate reports for finance.
- Gain proficiency in the POS System and assist Bar Staff with stock entry.
- Estimate and plan for future inventory needs including goods, utensils, and cleaning supplies.
- Prepare and submit reports to maintain inventory control and assess sales.
- Keep inventory records updated and manage the receipt of goods.
3. Finance & Procurement
- Monitor stock levels and place orders to maintain appropriate Par Levels.
- Oversee Lodge administrative and procurement processes, focusing on month-end paperwork.
- Prepare Requisition Forms based on departmental needs.
4. Customer Service Delivery & Floor Support
- Provide training to staff on F&B operations, POS use, and inventory control protocols.
- Offer support during special events for setup and cleanup as needed.
5. System Development
- Assist in refining systems for Lodge integration, operational improvements, and business growth.
Qualifications and Experience:
- Minimum Diploma in Business Administration, Hospitality Management, or a finance-related field.
- At least 2 years of experience in an administrative or finance role.
- Familiarity with POS systems or similar point-of-sale technologies is preferred.
- Experience in the hospitality industry, especially in customer-facing roles, is an asset.
- Flexibility to work shifts, weekends, and holidays.
- A First Aid Certificate is a plus.
- Strong communication skills in English and Sesotho, both verbal and written.
- Excellent time management and organizational abilities.
- Proven customer service experience.
- Proficiency in Excel and familiarity with POS software.
