Position: Stock Controller

Department: Administration

Line Manager: Operations Manager

Objective:

To assist Khutsong Lodge management in ensuring smooth and controlled operations by conducting proper Stock and Inventory. Key responsibilities include: administration; inventory and stock control; finance and procurement support; customer service delivery; additionally, to support the general operations as needed.

Main Accountabilities

Area 1: Administrationn

1.1 Communicate all necessary information to the Management and staff regarding Stock issues

1. 2 Be up to date with function sheets and liaise with reception regarding any changes

1.3 Liaise with suppliers directly, as requested, to ensure goods are reccived in full order

1.4 Understand and adhere to all Khutsong Lodge policies and procedures, helping ensure compliance across the department

1.5 Work cooperatively with all team members to support the achievement of work plan activities designed to achieve identified goals and objectives

1.6 Operate office cquipment such as computers, fax machines, photocopiers and computer scanning equipment to complete department tasks

1.7 Maintain adequate office supply of all department supplies used within the department

Area 2: Inventory and stock control

2. 2 Perform rolling stock take duties with the assistance of management, keeping reports to finance current and

2.3 Gain full proficiency in the POS System and assist Bar Staffto enter Stock into the POS

2. 4 Estimate future needs for goods, kitchen utensils and cleaning products

2.5 Submit all necessary reports as and when required by management to maintain inventory control, assess sales and produce reports

2.6 Enter all new inventory items into the System and always keep this up to date

2.7 Manage goods received and liaise with suppliers

Area 3: Finance & Procurement

3.1 Check stock levels and order supplies as needed, always maintain Par Levels of stock on hand

3.2 Conduct Khutsong Lodge administrative and procurement

processes, placing special attention to the month-end paperwork

3.3 Prepare Requisition Forms according to what the HOD’s have determined needs to be ordered

Area 4: Customer Service Delivery & Floor Support

4.1 Develop thorough training and a good understanding of how F&B Works, how staff use the POS system and inventory control procedures

4.2 When special events occur, provide support in set up and clean up, as needed

Area 6: Special Duties

6.2 Assist in operational and functions initiatives

6.3 Comply with and uphold all Khutsong Lodges Policies and

Procedures

6.4 Maintain professional conduct at all times

6.5 Undertake such other duties as may be reasonably requested

6.6 Assist in developing systems for broader Khutsong Lodge integration, operational improvements, and business growth

Qualifications and Experience

Essential:

– Minimum Diploma in Business Administration, Hospitality Management, or finance related fields

– Minimum 2 years previous experience in administrative or finance role is preferred

– Experience with point-of-sale systems or a similar computerized point of sale system preferred

– Previous experience working in the hospitality industry is an added advantage

– Flexibility to work in shifts, weekends and holidays is essential

Desirable:

– First Aid Certified

– Ability to effectively liaise with multi-disciplinary teams and a variety of stakeholders to achieve goals

– Ability to multitask and work according to set deadlines

– Demonstrates strong verbal and written communication skills in English and Sesotho

– Willingness to work long, flexible hours, including regular weekends and holidays

– Excellent time management, organizational management skills

– Proven customer service experience

– Extensive food and beverage knowledge, with ability to remember and recall ingredients and dishes to inform customers and wait staff

– Familiarity with POS software’s

– Organised and reliable

– Adaptable and solutions-oriented

– Independent and service-minded

Desirable:

– Demonstrates a growth mind-set

– Ability to think strategically

– Proficiency with Excel
