Job Description Summary
The Sponsorship Data Clerks will provide support at the Area Programmes (APs) with management of Child Sponsorship Systems and accurate Child (Registered Children) data record monitoring, tracking, reporting, and follow-up in accordance with partnership standards. The position is to manage effectively Registered Children database at the AP level and is responsible for managing the Horizon database and sponsorship-related data, coordinating mail handling processes, and ensuring timely and accurate documentation. This position plays a key role in integrating Sponsorship into the monitoring and evaluation systems, ensuring that Registered Children (RC) participation is effectively
tracked and reported. The Sponsorship Data Clerk also supports the implementation of the Sponsorship Operations Plan (SOP) activities within the APs, coordinates sponsorship-related activities, and generates periodic monitoring reports to inform decision-making and improve programme quality. The position will undertake integration of Sponsorship Operations Plan (SOP) activities into the monitoring and evaluation systems, ensuring that Registered Children (RC) participation is effectively tracked and reported with good performance of the AP in addressing Child-Well-being issues on Child Protection, Health & Nutrition, WASH and enabling cross-cutting functions.
1. Registered Children (RC) Data Collection, Management, Analysis:
Generate and analyse performance and participation reports using the Horizon system. Share insights weekly with Sponsorship, DMEAL, and Cluster teams to support data-driven decision making and continuous improvement in sponsorship programming.
- Implement Field Office Sponsorship 3.0, with a focus on delivering high-quality Child and Community Rich Media content. Ensure thorough review and quality assurance of Child Update Videos (CUVs), Child Update Photos (CUPs), Community Greeting Photos (CGPs), and Community Greeting Videos (CGVs) to minimize rejection rates and uphold sponsorship standards.
- Validate correctness of the Registered Children (RCs), their families and community’s documentation to support real-time sponsorship database, reporting, dash-board alignment and inform data-driven decisions;
- In a timely manner, enter quality child data and SOs communications (queries, GN, mails, child monitoring information into Child Sponsorship systems (100% data entered for all RCs) , handles and process confidential data and information to ensure integrity in line with WVL policies and smooth implementation of Sponsorship Operations Plan (SOP).
- Coordinate child data record management across key players within the AP and
- ensure that the Partnership standards are met;
- Ensure that Registered Children (RC) files are regularly updated to maintain high data quality and integrity;
- Conduct timely quality review of Sponsorship products and translations to support sponsor visits, evidence-based transformational stories and ensure quality
- communication that captures interest and confidence of the sponsors and potential donors.
2. Management of Sponsorship Standards, Systems, Policies & Procedures:
Ensure adherence to World Vision Sponsorship Business Systems, Processes and Procedures in undertaking AP activities:
- Facilitating sponsorship activities to contribute towards Life Skills Child Participation and Voice;
- Ensure timely sponsor engagement and standardized response that captures
- confidence and trust for future opportunities and potential donors;
- Ensure storage and safe-keeping of child data, sponsor details, sponsorship documents, files and systems in adherence to safeguarding policies and procedures;
- Process all sponsorship correspondences in accordance with Standard Operating Procedure standards (SOPs), ensuring quality and timeliness;
- Effectively manage all Gift Notifications (GNs), prepare monthly AP reconciliation, and submit validated reports to management;
- Maintain and update sponsorship systems including mobile software for programme effectiveness;
- Maintain security of sponsorship data, system resources and safety of sponsor
- addresses;
- Facilitate the overall implementation of WVL Sponsorship programme with a focus on delivering high-quality Child and Community Rich Media content;
- Maintain and update Sponsorship Business Systems as per World Vision Lesotho protocols and procedures for real-time monitoring;
- Ensure data security and compliance with World Vision’s data protection policies.
3. Monitoring, Evaluation and Learning:
- Provide ongoing child related data collection and monitoring support to all Child protection & Monitors for better performance.
- Work with DMEAL Officers and Technical teams to align AP activities with
- programme indicators, SOPs indicators and implement data collection tools;
- Monitor and track RC participation in programme interventions to confirm that children are actively benefiting from Integrated Programming Framework (IPF) initiatives;
- Support data management capacity building initiatives, rollout and maintenance of digital data collection tools;
- Contribute to AP management planning sessions by sharing DMEAL plan data-driven insights;
- Support child sponsorship and AP reporting by providing accurate, timely data and alignment with DMEAL standards.
4. Inclusive Programme Management, Planning & Reporting:
- Partner with DMEAL to consolidate reports as per SOP and AP plan frameworks and indicators;
- Facilitate the implementation of the Registered Child (RC) death mitigation plan, ensuring timely reporting, appropriate follow-up, and adherence to Sponsorship
- protocols to safeguard the dignity and well-being of affected families and communities.
- Ensure disability inclusion is systematically integrated within the Integrated
- Programming Frameworks (IPFs), promoting equitable access to services and participation for children and caregivers with disabilities across all programme interventions.
- Participate in AP reviews, evaluations, and report meetings to inform Annual
- Programme Report;
- Document lessons learned to inform future programme planning, budget and capacity building initiatives;
- Ensure timely submission of reports to technical teams, line managers and matrix report managers;
- Support transitioning APs to prepare close-out plans and implement effective and progressive strategies towards end of fiscal year.
5. Relationship Management, Collaboration & Communication:
- Maintain sponsor retention by facilitating timely and effective communication between the National Office (NO), Support Office (SO), Regional Office (RO), sponsors, registered children, and communities;
- Facilitate and coordinate smooth implementation of Chosen Events, ENOUGH and all related campaigns within the APs and communities;
- Create communication platforms for advocacy of children and community participation in WVL events, campaigns and programme interventions;
- Facilitate ease of access through communication, messaging and information sharing channels to advise children and communities on WV reporting mechanisms, AP community-based support structures, and partners such as Churches, Police and Village leaders;
- Capture and document good practices, innovations, impact stories, photos and videos for sponsors, potential donors and other stakeholders.
6. Capacity Building & Programme Support:
- Facilitate training and rollout of Global Centre Sponsorship initiatives across the Area Programme;
- Provide support in community mobilization & education on sponsorship to the APs, new registration of RC as per National Office selection criteria;
- Undertake Child-Sponsorship initiatives and ensure all child engagement follows the safeguarding protocols, e.g. Christmas Cards correspondence, Child safe digital engagement;
- Provide ongoing mentoring and coaching support to all Child protection & Monitors to enhance high performance culture;
- Partner with Faith & Development to empower and nurture spiritual growth into children, their families and communities we serve;
- Coordinate trainings on Gender, Diversity and Inclusion, Climate Change and Disaster reduction to create awareness, prepare and empower AP communities with resilience mechanisms.
Qualifications, Knowledge, Experience and Technical Skills
- Minimum Qualification required: BA/BSc Degree in Monitoring & Evaluation, Statistics & Demography, Data Science/Management, Information Technology, or a related discipline;
- At least 2 years’ working experience from the International Non-Governmental Organization or any field in data management;
- High computer skills and knowledge is needed.
- Comprehensive understanding of WV sponsorship standards and systems.
- Conversant with computer skills
- Ability to interpret Horizon (HOPE) reports and take management decision.
- Ability to work in a Christian environment and a willingness to engage beyond religious boundaries.
- Passionate about children and the related issues.
- Team player.
- Ability to think objectively, and to clearly define the vision of the organization.
- Excellent written and verbal communication skills in at least one of official WV languages used in the particular NO.
