Job Description

Position Title: Secretary/Receptionist
Directorate: Human Resources & Corporate Services
Grade: B3
Reports to: Human Resources & Corporate Services Manager
Peer Relationships: Driver and Secretaries
Direct Subordinates: None
Internal Liaison: All staff across Directorates
External Liaison: Service providers, consultants, visitors, and other stakeholders

Purpose of the Job

To provide professional, efficient, and client-focused secretarial, reception, and administrative support services to ensure smooth day-to-day operations of the Directorate and a positive institutional image aligned with Council on Higher Education (CHE) standards.

  1. Internal and External Support Services
  2. Secretarial and Administrative Support
  3. Reception and Switchboard Operations
  4. Mail and Document Handling

Essential Requirements

Qualifications

Diploma in Secretarial Studies, Office Administration, or an equivalent qualification

Experience

At least 2–4 years’ relevant experience in secretarial, administrative, or receptionist roles

Key Competencies

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • Document management and record-keeping skills
  • Switchboard and office equipment operation
  • Professionalism and strong ethical conduct
  • Customer service orientation
  • Strong interpersonal and communication skills (verbal and written)
  • Good organisational and time management skills
  • Attention to detail and accuracy
  • Ability to work under pressure and manage multiple tasks
