SOS Children’s Villages Lesotho is a child focus organization and an affiliate of SOS Children Villages International. It is non-governmental, non-political, non-denominational, and non-racial organization. Its overall mission is to build families for children in need, help them shape their own futures and participate in the development of their communities. To realize the mission of the organization, SOS CV Lesotho has established four (4) locations and/or duty stations, the National Coordinating Office, Maseru Programme Location, Quthing Programme Location and the Youth Empowerment and Entrepreneurship Training (YEET) project located in Leribe. The main goal of the YEET project is to empower young people by capacitating them with entrepreneurship skills to enhance their independence as future leaders.

To ensure successful achievement of the project goals and objectives and the organization mission, SOS Children’s Village Lesotho is recruiting, and applications are invited from suitably qualified local candidates for the following position(s):

Responsible To: School Principal

Main Duties

Responsible to the Principal of the school for the following: management, administration, organisation, planning, training, and implementation of all secretarial and professional typesetting, filing, and general secretarial work of the SOS Primary School. Provides comprehensive secretarial services within the SOS Herman Gmeiner School. Exhibits friendliness, is courteous, professional, and efficient.

  • Responsible for the Principal’s arrangements and acts as Personal Assistant and Private Secretary.
  • Handles the Principal’s correspondence, including official, semi-official, and general organisational mail.
  • Receives and interviews delegations and deputations to the Principal.
  • Makes arrangements for the Principal’s tours, press matters, publicity, and gatherings.
  • Professionally types all printed matters for the Principal, including letters, booklets, leaflets, pamphlets, newsletters, and general correspondence.
  • Takes shorthand and dictation notes whenever required by the Principal.
  • Liaises with government institutions and other organisations’ principals, directors, secretaries, heads, personnel, sister institutions, and client organisations.
  • Assists the Principal with certain administrative responsibilities, including vetting invitations, handling approaches from donors, organising social gatherings, meetings and conferences, and the collation and dissemination of confidential information.
  • Files and updates records of the Director’s office.
  • Maintains the tidiness and comfort of the Director’s office.
  • Performs related work and responsibilities as may be assigned by the Principal from time to time.

1. Create a Welcoming Atmosphere

1.1 Warmly receive all visitors and parents. Ensure that they receive any assistance they require or are referred to the appropriate person.

1.2 Assist with the organisation of special functions held at the school.

1.3 Ensure that there is always someone available to perform reception duties whenever the office is unattended.

2. Ensure the Smooth Flow of Correspondence and Communication

2.1 Operate the switchboard, making outgoing telephone calls, receiving incoming calls, and transferring them to the appropriate person. Take messages as necessary and ensure that messages are delivered.

2.2 Arrange for the sending and collection of mail. Maintain a record of outgoing correspondence and distribute incoming mail appropriately.

2.3 Ensure that there is always a sufficient stock of envelopes, stamps, and other stationery.

3. Perform Detailed Financial Tasks

3.1 Hold the school cheque book and maintain the school petty cash float. Replenish petty cash as required. Store the cheque book and petty cash in the school safe.

3.2 Prepare petty cash and cheque payment vouchers for all expenditures and obtain the necessary authorisation. Ensure that a receipt or invoice is attached to each voucher.

3.3 Record all income and expenditures in the Bank Register and Petty Cash Register. At month-end, reconcile the registers and submit the completed registers to the Financial Coordinator.

3.4 Maintain the School Fee Register. Record payments in the register and issue receipts to parents.

3.5 Follow up on late payment of fees.

3.6 Assist the Principal in obtaining quotations, stationery, and other school supplies.

4. Provide Secretarial Support

4.1 Type all reports, minutes, correspondence, and other documents presented for typing by the School Principal (or Deputy Principal).

4.2 Take minutes of school staff meetings as required by the School Principal. Type and distribute these to the relevant staff members.

4.3 Circulate memos and other documents as directed by the School Principal.

5. Ensure High Standards of Efficiency and Organisation

5.1 Exercise good time management skills.

5.2 Maintain a well-organised reception office, keeping it orderly, clean, and tidy.

5.3 Keep up-to-date records regarding staff, children, accounts, administration, meetings, correspondence, communication, and related matters.

5.4 Maintain sufficient stocks of office stationery, ensuring that new supplies are obtained as and when necessary.

5.5 Maintain a stationery control register. Ensure that all withdrawals of stationery from the store are recorded and signed for.

6. Maintain Confidentiality of School Matters

6.1 Maintain confidentiality in all matters relating to school operations. Do not gossip.

6.2 Ensure the safekeeping of records relating to accounts, staff, children, meetings, correspondence, and communication. Give access to these records only to authorised staff members. In general, access to files shall be restricted to the Principal (Deputy Principal) and National Coordinator.

Job Specifications/Qualifications

7.1 Diploma in Accounting, CAT, or an equivalent qualification.

7.2 One to two years’ work experience in school management.

7.3 Knowledge of education laws.

7.4 Knowledge of child protection laws and regulations.

Skills and Abilities

  • Proficiency in Sesotho and English.
  • Ability to work under pressure.
  • Good interpersonal skills.
