Job Summary

The Sales and Marketing Assistant will support the Assistant Marketing Officer in promoting and selling Government Printing and Stationery products, including legal publications and stationery. The role involves handling customer enquiries, preparing quotations, processing orders, supporting marketing activities, and assisting with digital marketing and communication initiatives to improve the visibility, accessibility, and sales performance of Government Printing products and services.

Main Duties

Sales and Customer Service
  • Sell stationery, publications, and other Government Printing products and services to customers.
  • Respond to customer enquiries and provide accurate information on products, prices, and availability.
  • Prepare and issue quotations in line with established procedures.
  • Receive and process customer orders.
  • Follow up on quotations and orders to ensure timely service delivery.
  • Assist in resolving customer complaints and ensuring customer satisfaction.
  • Maintain good customer relations and promote repeat business.
Marketing and Promotion
  • Assist in the development and implementation of marketing and promotional activities.
  • Promote Government Printing and Stationery products and services to ministries, departments, agencies, and the public.
  • Conduct basic market research and gather customer feedback to support business development.
  • Assist in identifying potential clients and business opportunities.
Digital Marketing and Communications
  • Assist in managing and updating social media platforms.
  • Create, schedule, and publish approved digital content.
  • Assist in maintaining and updating the website with relevant information.
  • Monitor online engagement and respond to customer enquiries on digital platforms.
  • Support email marketing and digital communication activities.
Publications and Stationery Administration
  • Maintain accurate records of sales transactions and customer interactions.
  • Assist in tracking customer orders, deliveries, and outstanding items.
  • Prepare basic sales and marketing reports.
  • Maintain organised filing systems for both digital and physical records.
Events and Public Relations
  • Assist in organising exhibitions, trade fairs, and promotional events.
  • Represent Government Printing and Stationery at marketing and outreach activities when required.
Reporting and Administrative Support
  • Prepare periodic reports on sales, marketing activities, and customer engagement.
  • Maintain accurate documentation of quotations, orders, and customer records.
  • Perform any other related duties as assigned by the Assistant Marketing Officer.
Collaboration
  • Work closely with the Procurement, Costing, Plant, and Finance sections to ensure efficient service delivery.
  • Ensure accurate product information and the timely fulfilment of customer requests.

Job Specifications

Education and Qualifications

Applicants must have either:

  • A Diploma in Marketing, Sales, Business Administration, Communications, Public Relations, Digital Marketing, or a related field;

OR

  • A Certificate in Marketing, Sales, Business Administration, Communications, Public Relations, Digital Marketing, Graphic Design, or a related field, plus at least two (2) years’ relevant work experience.

The following will be an added advantage:

  • Experience in social media management.
  • Website content management.
  • Digital marketing.

Computer Skills

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to use email and internet-based communication tools.
  • Familiarity with social media platforms and digital communication tools.
  • Basic graphic design and content creation skills will be an added advantage.
  • Knowledge of website content management systems and basic analytics tools will be an added advantage.
