Safety and Setup Coordinator

The CSIR has a vacancy for Safety and Setup Coordinator in the CSIR International Convention Centre (ICC). The incumbent will work with the sales and operations departments to plan the set- up of all exhibitions, non-standard equipment, furniture, decor etc. to ensure compliance with safety and other legislation, standards and guidelines whilst minimising risk to the CSIR ICC, clients, contractors and guests. This position is based in Pretoria.


Key responsibilities:

  • Compile and maintain a full set of floorplans and venue plans;
  • Compile safety guidelines and set up manuals for internal departments, exhibition setups, suppliers/contractors etc.;
  • Train ICC operational departments on the safety and setup requirements;
  • Assist to identify and plan for set ups by clients and their service providers and contractors
  • Draw custom floorplans for CSIR ICC clients;
  • Review and approve floorplans compiled by clients in terms of safety legislation and ICC space planning requirements
  • Assist clients to compile and submit safety files to the City of Tshwane Joint Operations Committee;
  • Ensure that all necessary safety and setup documentation from exhibitors, clients and contractors is correctly received and filed;
  • Oversee the setup of exhibitions and décor to ensure that all safety legislation and standards are adhered to;
  • Provide advice regarding the safe and correct set up of equipment and furniture within the areas of responsibility;
  • Report any violations to the CSIR ICC Facilities Manager;
  • Provide quotations and coordinate the services of exhibition infrastructure;
  • Identify the need for and coordinate an exhibition services desk and briefing subcontractors during big events;
  • Maintain records of all clients and subcontractor related safety documentation; and
  • Establish the CSIR ICC workplace health and safety committee.

Qualifications, skills and experience:

  • A national senior certificate with a minimum of three years’ experience in the event industry in a similar position;
  • Accreditation with a professional safety body such as SAIOSH (SA Institute of Occupational Safety and Health), or a CIC CMP (Convention Industry Council Certified Meeting Planner) would be an advantage.
  • Methodical and systems orientated;
  • Knowledge of relevant legislation and industry standards;
  • Ability to remain calm under pressure.
