Request for Quotation/Bid for Provision of Lodging and Conference Package
1.0 Background Information and Context
The Christian Health Association of Lesotho (CHAL) is a voluntary association of Christian churches providing not-for-profit health care services to Basotho. It was established in 1974 as an association under the Societies Act of the Kingdom of Lesotho. CHAL is made up of six member churches:
- Roman Catholic Church (RCC)
- Lesotho Evangelical Church in Southern Africa (LECSA)
- The Church of the Bible Covenant (CBC)
- Assemblies of God (AOG)
- Seventh Day Adventist Church (SDA)
- Anglican Church in Lesotho (ACL)
Together, they operate 8 hospitals, 4 Nurses Training Institutions and 71 health centres.
CHAL has entered into an agreement with the Africa Christian Health Association Platform (ACHAP) for the second phase of the Saving Lives and Livelihoods (SLL) Project, funded by the Mastercard Foundation under Africa CDC. The project supports the Ministry of Health to improve immunisation outcomes in Lesotho.
CHAL is therefore looking for suitably qualified suppliers or service providers to provide a meeting facility with accommodation for 5 participants and a conference package for 85 participants as described in Section 2.0 below, from 16–18 December 2025. The preferred location is Berea District. Suitably qualified hospitality suppliers are requested to submit bids to the email/address provided in Section 5.0.
2.0 Assignment Objectives / Requested Services
Bids must be from Lesotho hotels, lodges, and guest houses in Berea District with a proven track record and valid licences to provide services of this nature.
The supplier is expected to provide CHAL with the following services for 3 days (16–18 December 2025):
- Accommodation for 5 people for 3 days, from 15–17 December 2025
- Hall hire for 85 people for 3 days, from 16–18 December 2025
- Lunch for 85 people for 3 days, from 16–18 December 2025
- Morning tea for 85 people for 3 days, from 16–18 December 2025
- Afternoon tea for 85 people for 3 days, from 16–18 December 2025
- Bottled water (500ml) for 85 people, 2 bottles per person per day, for 3 days, from 16–18 December 2025
Time Frame:
The assignment is expected to take a maximum of 3 days, upon receipt of the purchase order from CHAL.
3.0 Proposal Specifications
Interested suppliers must submit both a technical and a financial proposal with the following components:
3.1 Technical Proposal
- Understanding and interpretation of the assignment (based on Section 2.0)
3.2 Financial Proposal
- Detailed cost proposal in Maloti for all required services listed in Section 2.0
Bidders must also attach:
- Valid Tax Clearance Certificate
- Valid Trader’s Licence / Business ID
- VAT Registration Certificate (if registered)
- Tourism Levy Certificate
- Bank confirmation
5.0 Submission of Proposal

Deadline for submission:
On or before 10th December 2025 at 15:00 hours.
Quotations/proposals received after this time will not be considered.
6.0 Evaluation and Award of the Work
CHAL will evaluate the bids and award the assignment based on technical and financial feasibility.
CHAL reserves the right to accept or reject any quotation received without giving reasons and is not bound to accept the lowest or the highest bid/quotation.
