JOB SUMMARY

UNDER THE GENERAL SUPERVISION OF ASSISTANT HUMAN RESOURCES OFFICER; THE INCUMBANT IS RESPONSIBLE FOR DEVELOPING A FILING SYSTEM, RECORDING MAIL, FACILITATING A FILE ARCHIVING SYSTEM.

DUTIES

1. RECEIVING MAIL

1.1   The Registry Supervisor is responsible for receiving,

verifying and processing documents, including incoming and outgoing mail and overseeing the documentation of same in suitable registers, as well as for monitoring the use of authorized classification lists and the development of new subject headings.

1.2    Develops and maintains a filing system for office correspondence.

1.3    Develops an indexing system for appropriating filing of office mail.

2. RECORDING MAIL

2.1     Develops a register of all incoming and outgoing mail to facilitate systematic recording of mail.

2.2     Develops a file movement register to follow systematic recording of mail

JOB SPECIFICATION

Diploma in Public Administration or Human Resources Management
                                                      OR

Certificate in Human Resources Management or Records Management plus three (3) years’ experience in registry work.

Applications  on  relevant  forms,  (obtainable  from  the Ministry of Agriculture & Food Security), GP 104 for serving   officers   and   GP 103   for   job   seekers   duly accompanied    by    certified    copies    of    educational certificates, transcripts, National Identity Document and up-to-date   performance  appraisal   forms   for   serving officers.
