KARABO EA BOPHELO at Baylor College of Medicine Children’s Foundation – Lesotho. The Baylor College of Medicine Children’s Foundation – Lesotho (BCMCFL), is the result of a public-private partnership between Baylor College of Medicine International Pediatric AIDS Initiative and the Government of Lesotho, and is a legal, non-profit/tax exempt organization registered in Lesotho. BCMCFL provides free pediatric and family-centred HIV and tuberculosis prevention, care, treatment, and support, serving thousands of children and families affected by HIV, TB, or other child health conditions. Karabo ea Bophelo (KB) is a five-year USAID-funded activity to prevent new HIV infections and reduce vulnerability among orphans and vulnerable children (OVC) and adolescent girls and young women (AGYW) in Lesotho. This position is based in Maseru.

BCMCFL-KB is looking for highly qualified candidate to fill in the following position on a full-time, Fixed-Term Contract basis for the duration of the project.

Duties and Responsibilities

Position Overview

Responsible for handling incoming and outgoing calls of the project; registration and distribution of incoming and outgoing mail of the project; dealing with inquiries of general public on the phone and face-to-face; providing secretarial and administration services to visitors, staff and management of BAYLOR/Karabo Ea Bophelo.  

Key Competencies

  • Manage and screens incoming and outgoing telephone calls;
  • Handles public enquiries and direct them to relevant departments for action;
  • Handles incoming visitors and guide them to meet with relevant offices of staff;
  • Provide project related information to visitors;
  • Receive, register and distribute incoming correspondence for appropriate action;
  • Register and dispatch outgoing correspondence.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms and brochures);
  • Provide basic and accurate information in-person and via phone/email;
  • Receive, sort and distribute daily mail/deliveries, courier deliveries;
  • Order front office supplies and keep inventory of stock
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
  • Do any other related duties as may assigned by your supervisor from time to time.

Educational Qualifications, Work Experience and Key Competencies

  • Minimum qualification: Diploma in Office Administration or equivalent with minimum of three years experience; Basic computer skills will be an added advantage;
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Ability to multitask;
  • Punctuality;
  • Telephone etiquette;
  • Good Customer service attitude;
  • Proficiency in Microsoft Office Suite;
  • Good time management skills;
  • Strong Interpersonal skills, team player, analytical and problem solver;
  • Effective verbal, listening and written communication, fluent in spoken and written English and Sesotho;
  • Ability to be resourceful and proactive when issues arise;
  •  Excellent organizational skills.
