Position: Receptionist.

Purpose of the job:

The Receptionist is responsible for providing office and clerical services, receiving guests, answering telephone calls, taking messages, and assisting guests professionally and efficiently. Reports to the Front Office Manager.

Key Responsibilities:

· Answering the telephone, direct and, screen calls, taking, and communicating messages.

· Providing information to callers, greeting persons entering the lodge, and directing individuals to the correct destination.

· Receive, direct and relay telephone and email messages.

· Perform check-in and check-out tasks.

· Manage email, telephone, and in-person reservations and bookings.

· Inform customers about payment methods and verify their credit data.

· Register guests and collect necessary information including contact details, ID, and exact dates of stay.

· Welcome guests upon arrival and assign rooms.

· Provide information about our lodge, available rooms, rates, amenities, meal times, and places of interest.

· Respond to guests’ complaints efficiently and professionally.

· Liaise with housekeeping staff to ensure that rooms are clean, tidy, and equipped with amenities to accommodate guests’ needs.

· Confirm group reservations and arrange personalized services for VIP customers and event attendees like weddings, etc.

· Upsell additional facilities and services.

· Maintain updated records of bookings and services.

· Monitor the guest register and identify the outstanding payments and liaise with the guest.

· Pick up and deliver the mail to the concerned departments.

· Maintain the general filing system and file all correspondence

· Assist in the planning and preparation of meetings, conferences, and conference telephone calls

· Respond to the guests’ queries and report all incidents accordingly.

· Schedule appointments, organize meetings and maintain appointment diary either electronically or manually.

· Perform all other job-related duties as assigned by Management.

Education and Experience:

· National Diploma in Hospitality Management or any related field

· Minimum 3 years experience in the same field.

Knowledge, skills, and experience:

· Proficient in all Microsoft Office applications and PMS.

· A wide knowledge of the hospitality industry.

· Excellent communication skills.

· Outstanding customer service.

· Good analytical and problem-solving skills.

· Good interpersonal skills

· Ability to multitask

· Ability to work under pressure

· Experience in a Property Management System (PMS)

· Knowledge of how online travel agents and channels work e.g. Booking.com

· Persuasive skills
