REQUEST FOR QUOTATIONS- RFQ 2024/25
The Independent Electoral Commission (IEC) invites quotations from suitably qualified interested Companies to Provide the Following Conference Activities/Services.
ITEM DESCRIPTION QUANTITY
1. Décor Hiring
Decorate the overall Conference Hall during the day of the event using IEC Corporate Colours.
Provide 8 Wing Chairs (Panelists, Commission and Director of Elections).

2.Sound,Indoor stage, Lightning Hiring & DJ
To provide sound for the event
To provide music and ensure clear Mic sound
Expected to set up at least a night before for testing and rehearsals.
3. Photography, Videography &; Live Streaming services.
provide at least 250 edited pictures,2 minutes event video and broadcast live at the event, covering all key activities of the day.
Provide raw content for organisational future use.
Should start working at 08:00am until the end of the conference.
4. Entertainment (live Band)
To perform at the event for approximately 1 Hour.
To perform at the opening of the conference and during short breaks to entertain the crowd alongside the DJ.
5.Master of Ceremony
Corporate MCs(Male & Female)
The MC Should be able to lead the whole event and is expected to start at 08:am and end at 5pm.
Should be fluent in both Sesotho and English.
Should be able to offer the guests the best interactive world class experience.

MANDATORY REQUIREMENTS
The price should be VAT inclusive for suppliers who qualify to collect VAT (attach VAT registration certificate).
Attach valid relevant Traders License/Business Identity Card.
Attach valid copy of Tax Clearance.
The specifications should be written in full on the quotation.
Provide the IBR number.
Indicate the Lead time on the quotation.
Quotation should be on the letter head or bear the company’s stamp.
Price should be quoted in Maloti currency
NB:
IEC is not bound to lowest price.
Companies are not allowed to use IEC logo without being authorised.
Payment will be processed after Provision of Service.
The quotations should be emailed to [email protected] and cc [email protected] or submitted in Procurement 2 nd Floor Election House Corner Maluti and Caledon Road Maseru West on or before Thursday the 30 th January 2025 at 4:30pm. Envelopes should be clearly marked “Activities for Referendum Conference’’.
