Trade & Industrial Policies Strategies (TIPS) is an independent, non-profit, economic research institution based in Pretoria. It was established in 1996 to support economic policy development, with an emphasis on industrial policy, in South Africa and the region. TIPS has three main areas of work: trade and industrial policy; inequality and economic inclusion; and sustainable growth.

TIPS’s main objectives are to undertake in-depth economic analyses, especially at the industrial level; to provide quality research as the basis for improving industrial policy as well as broader economic development strategies; and to support an increasingly dynamic and evidence-based discourse on industrial policy and inclusive growth with academics, other researchers and stakeholders.

TIPS offers high quality quantitative and qualitative research, project management, dialogue facilitation, capacity building and knowledge sharing. TIPS undertakes commissioned research, as well as policy papers and think pieces around industrial policy and economic development.

Trade & Industrial Policy Strategies (TIPS) is looking for a Project Coordinator is based in Pretoria, Gauteng. Non-South African applicants should have authority to work in South Africa.

TIPS Project Coordinators are assigned a group of projects in which they provide support to the research manager and research team. As a Project Coordinator at TIPS, you will be responsible for the following:

Responsibilities:
Assist with proposal preparation by checking bid / proposal requirements and ensure all required documentation is included with the proposal (such as technical proposal from the researchers, financial proposal, company registration documents, BBBEE scorecard, signed audited financial statements and company policies).
Assist with managing project-related contractual agreements with donors, sub-contractors and service providers.
Provide project administrative support on TIPS projects as per the TIPS project management cycle.
Set-up and coordinate project-related team meetings and stakeholder-specific engagements as per project requirements.
Develop, maintain and manage project activities on a monthly basis – track work plan and contract deliverables, project budgets, monitor reporting milestones, submit project invoices (prepared by Finance), follow up on project related payments and ensure compliance with the contract agreement and terms of reference.
Compile, maintain and review/update contracts monitoring sheet on a monthly basis
Work closely with the Project Accountant to reconcile projects budgets
Ensuring project-related procurement processes are fair, transparent and in line with the TIPS policies and procedures.
Organise all project-related travel arrangements and assist project manager and project team with project-related travel claims.
Develop, organise and maintain an electronic filing system of project-related documents.
Work with the Finance Manager and the Project Accountant to manage donor/funder project-related audits.
Manage and distribute project-related publications and reports.
Share lessons learnt and best practices with colleagues, and build relationships with project stakeholders (particularly donor financial and monitoring teams; and sub-contractors).
Attend internal TIPS Workflow and Research meetings on a monthly basis.
Events and stakeholder engagements:
Organise and plan face-to-face or virtual workshops, conferences and other events, and circulate invitation to delegates
Develop, design and compile attendance registers, agendas, name tags, meeting packs
Organise project-related events catering
Handle logistics (flights, shuttles, visas and accommodation bookings)
Compile packs to be distributed to delegates
Secure venue (undertake site inspection and bookings)
Manage project-related service providers’ contracts and attend meetings as and when required.
Format and compile biographies for speakers and presenters.
Updating events Calendar on a regular basis.
Qualification, Experience and Competences Required:
A BCom degree in a relevant field with at least 3 years of relevant working experience or a Diploma in Project Management with at least 5 years of relevant working experience in a not-for-profit (NPO) environment or working with NPOs.
Strong project management skills (on both internationally and locally funded projects).
Accuracy and attention to detail, be highly organised, and manage deadlines;
Ability to work in a multicultural and multidisciplinary setting, and able to work both in a team and independently;
Capacity to work under pressure and to adhere to strict deadlines with limited supervision;
Willingness to learn and be flexible;
Demonstrate an energetic and enthusiastic personality with strong relationship management skills;
Strong communication skills (written and verbal);
Able to make decisions or escalate issues where required;
Reliable and trustworthy;
Good time management and multi- tasking abilities/ ability to prioritize;
Strong working knowledge of Microsoft Office (Word, PowerPoint, Excel); and
Basic project management and financial management skills.
