PROJECT ACCOUNTANT -GBVF PREVENTION PROGRAMME
(Reporting to the Senior Finance Manager)
(Peromnes Grade 8) 

JOB PURPOSE

The Project Accountant will be primarily responsible for the day-to-day project accounting and compliance function for the GBVF and Ford Foundation grants. to ensure that project funds are managed and accounted for in an effective and sustainable manner, in accordance with donor requirements.

KEY RESPONSIBILITIES

Sub-Grantee (SG) Verification and compliance
Collect monthly reports from SGs within set timeframes as determined in SG Agreements.
Verify monthly reports submitted for accuracy and ensure transactions are accompanied by valid supporting documents.
Monitor monthly actual project expenditure against budgets, identify variances and ensure that the necessary follow up action is taken.
Review recons prepared by SGs by reference to bank statements and expense reports.
Consolidate monthly reports from SGs into a journal template.
Import journal onto Sage 300 for review by manager.
Communicate SCI requirements to SGs on ongoing basis and assist SGs with queries.
Follow up on late SG reports.
Prepare Exception reports on monthly basis
Review and submit timely advance request for SGs.
Preparation of SG payment tranches.
Ongoing checks on compliance with SG Agreements.
Project accounting and donor reporting
Prepare Donor control and grant bank account recons on a monthly basis, ensuring that differences are followed up and queries are resolved.
Complete cumulative P&L spreadsheet on monthly basis.
Prepare annual grant financial statements.
Prepare monthly and quarterly management and donor reports.
Assist Financial Manager (FM) with setting up GL structures.
Prepare general journals as requested by FM.
Prepare Cash flow forecasts based on cash, advances, expenditure reports and accruals / commitments.
Attend monthly meetings with Grant lead and Programme staff and provide other support as needed.
Ensure that all project management reports balance to the project trial balances and Income and Expense statements, and statements of Financial Position for the relevant projects.
Develop and implement a filing system to ensure that all original source documents are appropriately filed, and files are properly labelled to facilitate retrieval of documents. 

General
Read and understand the donor contracts for the GBVF and Ford Foundation grants.
Attend donor meetings, when required.
Ensure compliance with donor contractual requirements and reporting dates.

Ensure that Soul City Institute staff is provided with efficient and effective support/ assistance from the finance unit.
Audits
Prepare and save necessary information to ensure efficient, effective, and successful external project audits.
Assist FM with project audit requirements.
Human Resources Management
Take ownership and accountability for all deliverables and responsibilities assigned to the Project Accountant position.
In consultation with the Senior Financial Manager, identify own training and coaching requirements and developmental areas to achieve optimal performance.
Contribute to the development of a finance team with individuals who work well together and provide each other with mutual support, assistance, and cooperation.
Comply with all HR policies and procedures.
QUALIFICATIONS AND EXPERIENCE
A degree, or equivalent qualification in Accounting.
Experience working with electronic accounting package(s)
Extensive project accounting experience.
At least 5 years work experience in an accounting/finance environment.
Experience in preparing donor financial reports and experience with financial management of sub-grantees would be an advantage.
