Overview
The Program Coordinator plays a critical management role across a portfolio of projects. The position ensures enabling conditions for country teams to implement programming effectively and achieve intended outcomes. The Coordinator ensures project alignment with organizational goals and donor requirements, facilitates collaboration between national management and field teams, and is responsible for compliance and quality control.
Primary Responsibilities
Project Coordination and Quality Assurance (50%)
- Act as a central liaison, communicating project scope, objectives, and deliverables between national management, project teams, and partners.
- Collaborate with project managers to develop detailed project plans, activity schedules, budgets, and resource allocations using RBM.
- Organize and facilitate regular project meetings; ensure documentation and follow-through on action points.
- Provide support and guidance to project staff to ensure successful implementation.
- Monitor project progress, identify delays or risks, and propose solutions to ensure quality outcomes.
- Prepare clear and informative project progress reports for donors and IMPACT management.
- Review and approve project-related contracts to ensure compliance with IMPACT standards and donor requirements.
Finance & Administrative Oversight and Human Resources (30%)
- Review and approve project expenditures with focus on budget alignment and accountability.
- Collaborate with relevant departments on contracting processes for personnel and services.
- Conduct competency assessments of direct reports; monitor improvements and support professional growth.
Team Support (20%)
- Provide guidance and support to staff, promoting a positive work and learning environment.
- Assist in developing effective work plans and optimizing time management.
- Support team members in managing project budgets, including reporting, planning, and analysis (BVA/Budget vs Actuals).
- Champion IMPACT policies such as Code of Conduct and Safeguarding Policy, ensuring team understanding and adherence.
Essential Qualifications, Expertise, and Skills
- Undergraduate degree or equivalent in Social Sciences, Engineering, Business, Administration, or related fields.
- Minimum 8 years of project management experience in international development programs.
- Minimum 5 years of experience managing teams of multiple staff/consultants.
- Experience with project reporting and donor management (Global Affairs Canada, EU, UNEP, GIZ, USAID preferred).
- Experience with monitoring and evaluation; familiarity with GAC RBM preferred.
- Proficiency with Microsoft Office, Zoom, Box, and related professional software.
- Preferable experience in natural resource governance or artisanal/small-scale mining.
- Fluency in French and English; working proficiency in Spanish.
