Position Overview
Applications are invited from suitably qualified and interested individuals to apply for the position of Procurement Coordinator at the National Drug Service Organization (NDSO) in the Procurement Department.
Note: Renewal of the contract will depend on the performance of the candidate and the continuity of the project funding from the donor for a possible period of three years.
Summary of the Job Description
The Procurement Coordinator is responsible for reinforcing the National Drug Service Organization in discharging its duties in accordance with the Donor’s Procurement rules and the Public Procurement Regulations.
Duties
- Liaise with Program Managers within MOH to establish requirements for procurement of Health Sector Goods
- Prepare Requests for Quotations (RFQs) with clear specifications, quantities, and delivery schedules
- Solicit quotations from suppliers using international and/or national shopping methods
- Assist in evaluating received quotations and selecting appropriate suppliers
- Process requisition forms and purchase orders to initiate contractual relationships
- Review Goods Receipt Notes (GRNs) and invoices to ensure contractual compliance and recommend for payment
- Compile contract documents for signing by the Authority and selected supplier/contractor
- Safeguard all documents related to contract awards and signed contracts for post-review and auditing
- Update purchase order and contract registers with necessary information
- Assist the Procurement Manager and General Manager in compiling and submitting pricing information for donors
- Participate in Procurement Supply and Management Planning activities
- Compile and circulate Procurement and Supply status reports to relevant offices
Required Minimum Qualifications
- Degree or Diploma in Pharmacy Technology or Laboratory Sciences OR any Bachelor’s degree
PLUS - Level 4 Qualification in the Chartered Institute of Procurement and Supply (CIPS)
- Degree in Pharmacy or Laboratory Sciences with a minimum of two years’ experience in Procurement or Supply Chain Activities
Required Minimum Experience
- Diploma in Pharmacy or Laboratory Sciences or any Bachelor’s degree with a minimum of three years’ experience in Procurement
- Experience in dealing with health products will be an added advantage
Competencies
- Strong understanding of procurement best practices and compliance
- Knowledge of INCOTERMS, international freights, and customs clearance
- Strong analytical, report writing, and negotiation skills
