Job summary:
In October 2011 PSI Lesotho launched the Testing and Referral Gateway for Enhanced Sustainability (CID-LINK) Project funded by Centre for Disease Control (CDC). This project contributes directly to Lesotho’s National Multi-Sectoral HIV Prevention Strategy, by reducing the impact of HIV and AIDS in Lesotho by deploying evidenced-based sexual and biomedical
prevention programs.

Under the CID-LINK project, the incumbent will report to the Senior Procurement Officer and will be responsible for confidential administrative duties relating to organizing and coordinating procurement activities, review and distribution of information to include:

Major responsibilities
Job responsibilities for a procurement assistant include maintaining contracts with vendors; receiving, inspecting and expediting requisitions; initiating and keeping track of Purchase Orders; and maintaining up-to-date procurement filing system.

Tasks:

 Organise all procurement activities relating to request for proposals, sealed bids, and price quotes
 Review requisitions for completeness and accuracy; follow up on discrepancies with the initiating department; identify available suppliers for each requisitioned item.
 Organise and maintain computerized records containing vendor and bid information
 Process requisitions into purchase orders and any resulting change orders.
 Receive, open, screen, log and date stamps bid responses/quotations, mail as required and organize bids for review by the Senior Procurement Officer
 Correspond with vendors regarding prices, product availability, and delivery
 Respond to inquiries from staff regarding requisitions, purchase orders, contracts and pricing information.

JOB DESCRIPTION
 Submit Open Purchase Orders and additional required documentation for Finance for payment
 Coordinate and schedule meetings and appointments as requested; respond to inquiries which do not require the personal attention of the Senior Procurement Officer
 Perform other general duties such as maintaining general files, typing, data entry, opening mail, and completing and processing standard purchasing forms
 Perform related work as required.

Qualifications
 A high school diploma or GED is required for this position.
 One to two years’ work experience that includes purchasing, bookkeeping and record keeping.
