Key responsibilities:
- Manage procurement calls and close calls of all procurement services;
- Respond to the tender inquiry line and distribute inquiries appropriately;
- Support Procurement Practitioners and follow up on all actions to be taken in delivering service;
- Manage, update and publish CSIR contract register;
- Manage deviations registers including sole supplier, emergency, variation, expansions and National Treasury approval registers;
- Update and maintain CSIR Procurement plan in line with legislation and National Treasury requirements;
- Generate and provide reports to management on procurement activities, tenders, calls and mailboxes;
- Collect and provide information for auditing purposes;
- Provide support on tender administration inclusive of all Requests for Proposal (RFP) /Requests for Quotation (RFQ) that are published on the CSIR or National Treasury website;
- Manage CSIR procurement and tender mailboxes;
- Record keeping of original and signed operational documents as well as publication of documents on the Intraweb or designated location;
- Provide general administrative assistance to the procurement team including taking minutes during meetings;
- Complete all credit applications and manage all credit card purchases;
- Administer all non-compliance incidents and ensure that the complete process has been followed correctly;
- Drive any other administrative supply chain management tasks as and when mandated;
- Update and maintain all procurement catalogues in line with supplier agreements.
Qualifications, skills and experience:
- A National Diploma in supply chain management or equivalent qualification with at least three years’ experience in a supply chain environment;
- Experience in office administration and management will be advantageous;
- E-procurement knowledge, administration and organisational skills;
- Ability to handle large volumes of work;
- Ability to pay attention to detail and numerical skills;
- Ability to work with a diverse team and customer service orientation;
- Problem solving, flexibility and adaptability skills;
- Good verbal and written communication skills.
