POD Administrations Clerk
Responsibilities
- Obtain original Proof of Delivery (POD) documents, including border documentation, from branches efficiently.
- Follow established procedures for receiving documents to maintain a secure and traceable chain of custody.
- Maintain an organised and up-to-date filing system for both physical and digital documents.
- Perform thorough quality checks on all received documents to ensure accuracy and completeness, including dates, times, signatures, GRVS, invoices, values, stamps, and other critical details.
- Verify that all PODs meet required compliance standards to prevent billing disputes and ensure readiness for invoicing.
- Confirm that all images and scanned copies are clear, legible, and correctly matched to the corresponding shipment, including border-related documentation.
- Scan PODs and border documents into the company’s Document Management System (LMS) where required.
- Upload scanned documents accurately, ensuring each file is linked to the correct waybill number.
- Prepare and finalise verified PODs for the billing and debtors departments to support timely cash-flow processes.
- Identify missing or incomplete documentation and liaise with branches promptly to resolve discrepancies.
Requirements
- LGCSE certificate or equivalent
- Tertiary Qualification in Transport field will be advantageous
- Minimum of 2 years’ experience in a similar role
- Comprehensive knowledge of Proof of Deliveries and POD Scanning
- Ability to read, write and speak English fluently
- Fanatical attention to detail to improve workflow and productivity
- Proficient computer literacy, including effective use of Microsoft Office (Word, Excel, and Outlook), internet, web-based and job specific software applications
