Plant Maintenance Planning Clerk- Paterson BU
Introduction
To provide accurate clerical and administrative support to the maintenance planning function by maintaining asset and work-order information, coordinating job card documentation, updating the OnKey Enterprise Asset Management System (EAMS), and producing planning reports that support safe, efficient, and reliable plant maintenance.
Duties and Responsibilities
- Comply with all company Health, Safety, and Environmental policies, procedures, and legal requirements.
- Create, update, issue, track, and close work orders and job cards in OnKey EAMS in line with the Letšeng Plants Maintenance Framework.
- Capture accurate labour hours, materials, task feedback, failure information, completion dates, and other work-order history.
- Maintain equipment records, asset information, maintenance plans, task lists, and planning documentation under the Planner’s guidance.
- Compile weekly and monthly reports on backlog, schedule compliance, outstanding job cards, planned work, and maintenance performance.
- Prepare work packs by collating job cards, procedures, drawings, permits, risk assessments, spares information, and other supporting documents.
- Support weekly maintenance scheduling and shutdown planning meetings, record actions, and distribute approved schedules.
- Follow up with supervisors, artisans, operations, and Stores on job card feedback, work status, spare availability, and outstanding information.
- Maintain orderly electronic and hard-copy filing systems for maintenance records, OEM manuals, drawings, certificates, and reports.
- Assist with purchase requisitions, reservations, service entry documentation, and the tracking of maintenance-related materials and services.
- Protect the accuracy, confidentiality, and traceability of maintenance information, and highlight data quality gaps to the Planner.
Qualifications and Experience Required
- Qualification in Mechanical Engineering, Electrical Engineering, Business Administration, Office Administration, or a related field.
- Minimum of two (2) years’ experience in maintenance administration, planning support, technical clerical work, or a similar industrial role.
- A Certificate in Maintenance Planning will be an added advantage.
Required Skills and Competencies
- Understanding of maintenance work management, job card cycles, preventive maintenance, and backlog control.
- Good working knowledge of Microsoft Excel, Word, Outlook, and PowerPoint.
- High level of accuracy, attention to detail, and confidence in capturing and reconciling maintenance data.
- Analytical mindset, confidentiality, accountability, and a commitment to continuous improvement.
- Basic computer literacy.
