The LLWSS is a bulk water supply designed for the lowlands of Lesotho.
JOB TITLE: Personal Secretary
GRADE: Special Grade
NO OF POSITIONS: 1 (One)
RESPONSIBLE TO: Director, LLWSSU
TENURE: 2 Years
JOB SUMMARY
The Secretary will provide high-level confidential support and a full secretarial and administrative service to the Director. Reporting directly to the Director, the officer shall ensure that effective planning and administrative systems are in place and maintained efficiently and effectively, including conferences, strategy days, staff briefings, and other activities as may be required.
1. Key Responsibilities
- First point of contact for internal and external constituencies on all matters pertaining to the Office of the Director
- Serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts
- Oversees special projects
- Manages an extremely active calendar of appointments; completes expense reports
- Composes and prepares correspondence that is sometimes confidential
- Arranges complex and detailed travel plans, itineraries, and agendas; compiles documents for travel-related meetings
- Plans, coordinates, and ensures the Director’s schedule is followed and respected
- Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Director’s time and office
- Communicates directly, and on behalf of the Director, with financiers, staff, and others on matters related to office activities and initiatives
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director, including those of a sensitive or confidential nature
- Determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the Director’s office and internal management staff, demonstrating leadership to maintain credibility, trust, and support
- Works closely and effectively with the Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
- Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the Director updated
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Director’s ability to effectively lead the office
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings

Qualifications and Experience
A minimum of a Bachelor’s Degree in Secretarial Service with 5 to 10 years of experience supporting C-Level Executives.
