APPLICATIONS ARE INVITED FROM SUITABLY QUALIFIED CANDIDATES FOR THE FOLLOWING VACANT POSITION TENABLE IN THE MINISTRY OF NATURAL RESOURCES, the Lesotho Lowlands Water Supply Scheme Unit (LLWSSU). The LLWSS is a bulk water supply designed for the lowlands of Lesotho.
JOB TITLE: PERSONAL SECRETARY
GRADE: Special Grade
NO OF POSITIONS: 1 (ONE)
RESPONSIBLE TO: DIRECTOR LLWSSU
TENURE: 2 YEARS
JOB SUMMARY
The secretary will provide high level confidential support of full secretarial and administrative service to the Director. Report directly to the Director to provide a high level confidential support of a full secretarial and administrative service and shall ensure that effective planning and administrative systems are in place, maintained efficiently and effectively such as conference, strategy days, staff briefings and others as may be required.
1. Key responsibilities
- First point of contact for internal and external constituencies on all matters pertaining to the Office of the Director
- Serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts
- Oversees special projects
- Manages an extremely active calendar of appointments; completing expense reports
- Composing and preparing correspondence that is sometimes confidential
- Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
- Plans, coordinates, and ensures the Director’s schedule is followed and respected
- Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Director’s time and office
- Communicates directly, and on behalf of the Director with financiers, staff and others, on matters related to office activities and initiatives
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director including those of a sensitive or confidential nature
- Determines appropriate course of action, referral, or response
- Provides a bridge for smooth communication between the Director’s office and internal management staff; demonstrating leadership to maintain credibility, trust and support
- Works closely and effectively with the Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
- Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the Director updated
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Director’s ability to effectively lead the office
- Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings

QUALIFICATIONS AND EXPERIENCE
A minimum of Bachelor’s Degree in Secretarial Service with 5 to 10 years of experience supporting C-Level Executives.
