Job Summary

The incumbent will under the general supervision of the Chief Executive (CE) be responsible for the management and administration of the office of the Chief Executive and for coordinating communication to and from the CE’s different stakeholders.

Main Duties

  1. Ensures security and tidiness in the office of the Chief Executive.
  2. Maintains and ensures that the Chief Executive’s diary is well-organized prioritizing business appointments.
  3. Handles the Chief Executive’s correspondence – official, semi-official and general Association mail.
  4. Follows up feedback from external and internal correspondence.
  5. Ensures that information in and from the office of the Chief Executive remains confidential at all times.
  6. Schedules, coordinates and support all Chief Executive’s meetings as required and record meetings where necessary.
  7. Arranges documents to be used and facilities required such as the boardroom, projectors and refreshments in preparation for meetings where the Chief Executive participates.
  8. Arranges for the Chief Executive’s tours, press matters, setting invitations, publicity and gatherings.
  9. Schedule appointments/customers to the office of the Chief Executive.
  10. Maintains time keeping at all times in order to facilitate Chief Executive’s appointments and to serve CE’s clients.
  11. Files, and updates records of the Chief Executive’s Office and controls movement of records to and from the CE’s Office.
  12. Relays the CE’s directives, instructions and assignments to the relevant offices as may be required and follows up where necessary.
  13. Organises monthly refreshments for the office of the Chief Executive.
  14. Performs any other duties that may be assigned from time to time by the CE and which fall within the purview of the duties and responsibilities expected of the Personal Assistant.

Qualifications and Experience

  • Degree in Business Administration/Business Management/Public Administration or equivalent with 2 years’ experience in a similar role/as an Administrator

Or

  • Diploma in Business Administration/Business Management/Secretarial Studies or equivalent with 4 years’ experience in a similar role.

Knowledge, Skills and ability.

  • Ability to work flexi – time, co-operate and relate well with others.
  • Computer literacy (at high-level proficiency).
  • Ability to work under pressure and meet deadlines.
  • Ability to follow up on assignments.
  • Minutes taking skills.
  • People and communication skills.
  • Fluent in English (both Oral and Written)
