PERSONAL ASSISTANT TO GENERAL MANAGER FINANCE In the Finance Division

Applications are invited from suitably qualified Lesotho Nationals for the above-mentioned position. The position is tenable at LEC Headquarters in Maseru and the incumbent will report to the General Manager Finance. The incumbent will be responsible for providing executive personal assistance and administrative support to the General Manager Finance, via efficient and responsive organisational and logistical assistance. The position is permanent and pensionable.

QUALIFICATIONS
• Diploma in Secretarial Studies or Equivalent.

EXPERIENCE PROGRESSION & OTHER REQUIREMENTS
Experience:
•Minimum of Five years relevant experience.
•Computer literacy is a critical requirement of the job.
•Possession of valid Driver’s license will be an added advantage.
•Prior experience as an Executive Secretary will be an added advantage.
•Understanding and appreciation of finance related functions will be an added Advantage.

KEY PERFORMANCE AREAS
The incumbent will be responsible for performing the following
•Perform a broad variety of administrative tasks for the GM Finance including managing an extremely active calendar of appointments, plan, coordinate and ensures the GM Finance’s schedule is followed and respected; and acts in a “gatekeeper” capacity.
•Composing and preparing correspondence; monitors and responds to emails; researches required information or background.
•Sets up meeting files, scheduling and calendaring meetings, communicates meeting agendas, setting location, time, and appropriate duration, identifying, inviting and confirming participants, and facility arrangements where required.
•Ensure the General Manager Finance has documentation in advance of all scheduled meetings.
•Research, prioritize, and follow up on incoming issues and concerns addressed to the General Manager Finance, including those of a sensitive or confidential nature.
•Distribute Documents timely for internally and external clients.
•Liaise with Departmental Finance Managers to ensure that deadlines are met regarding assigned tasks.
•Ensuring proper documentation and record keeping on behalf of the General Manager Finance and Finance Division as a whole.
•Perform Secretarial services for Finance Divisional Meetings.
•Manage Finance Division office needs in liaison with.
