General Summary
Purpose of the Position
Patient Care Representative is the face of Kutlong® – “First impressions last longer”. The role of a patient care representative is crucial for it ensures the comfort of the clients both electronically and physically. You are the main force influencing how people perceive Kutlong® also ensuring that patients are informed, updated and assisted. This is attained through clear communication and listening to patients’ concerns.

Approach and deployment (What to do & How to Do it)
➢ Creating a patient-friendly environment
➢ Greeting and directing patients
➢ Scheduling patient appointments and making reminder calls
➢ Informing patients about waiting times and delays
➢ Obtaining patients bio-information, assisting patients to fill out patient forms, consent forms and payment contract forms
➢ Filling patient documentation (Patient forms, Consent forms, payment contract forms etc)
➢ Receiving and processing payments (Cash, Ecocash, Mpesa, bank transfers, medical cards etc)
➢ Reviewing patient accounts, identifying delinquent accounts and collecting overdue payments.
➢ Answering, investigating, and directing patient inquiries or complaints to the appropriate leadership.
➢ Following up on patients to ensure satisfaction in relation to their inquiries or complaints.
➢ Performing administrative and clerical duties and paperwork filing.

➢ Client/Patient satisfaction
➢ Patient retentions and return rates

➢ Increasing sales revenue

➢ Check and verify quality of both products and services
➢ Support Kutlong® personnel wherever possible
➢ React to change productively and handle other essential duties as assigned.

Job Requirements
(Knowledge, Skills and abilities for performance of essential duties)

Education:
Background in hospitality, Receptionist, data clerk and relevant field.

Experience:
At least to (2) years experience in relevant field.

Skills & Abilities
➢ Excellent written and oral communication skills required
➢ Ability to function within team environment required
➢ Research and development of data capturing tools and materials for enhancement and better data capturing and analysis.

Required Communication:
External:
Communicates regularly with hearing professionals, clients, parents, guardians, teachers and third parties.

Internal:
Communicates regularly (daily) with leadership, Hearing Care Specialist.

Work Context
Working Conditions:
Normal office conditions

Equipment Operations:
Normal office equipment, hearing aids, minor technical equipment.
