The CMS Ordering Coordinator will be required to co-ordinate the placement of last mile telco circuits with various vendors, coupled with performing a quality assurance function once the last mile telco links have been delivered. A key responsibility will be to keep the various internal and external stakeholders up to date with the progress around the link delivery. This will entail updating relevant systems with accurate information and succinctly communicating the progress to relevant internal functional areas as well as clients. The role also includes placing Last Mile decommissioning requests on the various vendors. The candidate will be required to proactively ensure that delivery delays are promptly identified and effectively escalated
What you’ll be doing

Vendor Ordering

  • Request order forms from vendors
  • Carry out the required governance checks before placing orders or decommissioning requests onto the vendors.
  • Ensure all Last Mile orders are placed within the required time frames.
  • Ensure all order requests are tracked until vendor order acknowledgment references are provided and assigned to Fulfilment Specialist.
  • Provide regular updates to internal stakeholders and clients around the delivery of the last mile links. This will take the form of written and verbal communication channels
  • Assume accountability for the delivery of a last mile link as per expected delivery lead times by ensuring internal functional areas are executing timeously.
  • Carry out quality checks to ensure that Last Mile orders and decommissioning requests are fulfilled by vendors according to the initial requirements.
  • Carry out quality checks that the internal systems are reflecting the required Last Mile circuit information for support and vendor payment purposes.
  • Provide a complete Vendor Ordering and Decommissioning Administration function and support the activities relating to Vendor Management for all orders.
  • Complete the relevant documentation required to secure and decommission vendor services in support of the efforts of the Vendor Management team.
  • Ensure that subcontracted purchases are completed so that the relevant service can be delivered within the agreed timelines.
  • Assist with basic system support by capturing, updating and maintaining the related database and systems as required by the Vendor Management process, ensuring complete data accuracy of all orders placed.
  • Responsible for processing circuit decommissioning with local and international vendors.
  • Assume responsibility for all administrative duties required by the teams supported.

Required Skills and Competencies

  • Grade 12 (Matric)
  • Minimum of 2 years’ experience in the IT field.
  • Post Matric Qualification in Telecommunication (would be advantageous )
  • Basic Knowledge of Telco (Diginet, ADSL, Fibre, Microwave) products.
  • Exposure to a telecommunication environment, network and infrastructure (would be advantageous ) .
  • Microsoft office package proficiencies (Word and Excel in particular)
  • Siebel (CRM) and Telco Management Software exposure will be beneficial
