Job Summary:

To provide office services by implementing administrative systems, procedures, policies and monitoring administrative projects for the Social Assistance programme.

Main Duties:

2.1.1 PROVIDES SUPPORT TO THE SOCIAL ASSISTANCE SERVICES

Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.

Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.

Supports the Social Assistance Manager to liaise with all POs and Consultants involved in implementation, and intervene and mediate in case of any problems arising;

Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.

Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Provides information by answering questions and requests.

Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Completes operational requirements by scheduling and assigning administrative projects; expediting work results.

Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

Contributes to team effort by accomplishing related results as needed.

2.1.1 PROVIDES SUPPORT TO THE SOCIAL PROTECTION SERVICES

Support the Social Assistance Manager to ensure that partner organizations hired for the data collection process comply with the deliverables stipulated in their contracts (POs for data collection, public information campaigns, process evaluation)

Ensure that transportation arrangements for data collection have been made.

JOB SPECIFICATION

3.1       Knowledge and Skills

The following knowledge, skills and abilities may be required through combination of formal schooling, self – education, prior experience, or on-the-job training.

Must have a degree in Admin/Business Management or Administration, with secretarial support services preferred. Must have computer aptitude and experience with word processing, database management and spreadsheet software. Good financial skills. Good organisational skills, ability to manage and prioritise tasks. Good interpersonal skills. Adaptability and flexibility. Fluency in English, both verbal and written is essential. Must have at least three years office experience.
