Duties

Under the supervision of Information Management Officer (IMO), manages all unclassified pouch and diplomatic mail operations at the mailroom. Serves as primary local liaison with customs authorities and mail handling contractors. Sorts and distributes mail, processes incoming unclassified diplomatic pouches, and prepares unclassified diplomatic pouches for dispatch. Responsible for transportation, safeguarding, receipt and delivery of all incoming and outgoing unclassified diplomatic pouches. Maintains all required paperwork. Ensures all security standards are met for proper storage and handling of DPM registered, certified and pouch material. Provides guidance to all offices and agencies authorized to use DPM pouch
services. Ensures all BPA contracts are kept up-to-date. When required, assists the classified pouch manager with diplomatic courier operations, primarily in dealing with local country customs agency but may also help move classified pouch. Is the primary IRM subject matter expert (SME) for unclassified yearly inventory; assists with the issue, troubleshooting, and
maintaining of inventory for unencrypted radios; and may work as a backup Telephone Receptionist.

Qualifications and Evaluations

Requirements:

EXPERIENCE:  Minimum of two years in external or internal customer service where tasks included, problem solving and mail handling or other related clerical experience, plus one year of contract or inventory experience are required.

JOB KNOWLEDGE:  Thorough knowledge of standard office practices. Familiarity with web based (cloud) computer applications, inventory systems of some type, problem solving, mail handling or other related clerical experience. Knowledge of contracts in a business setting is key.Education Requirements:

Successful completion of secondary school is required.

SKILLS AND ABILITIES: Must show ability to manage a mailroom and inventory effectively. Excellent interpersonal and customer service skills, including ability to calmly handle customer complaints up to the Executive level. Strong computer skills including typing skills and accurate data entry into web applications, with knowledge of the Microsoft Office Suite (Excel, Word, and Outlook). May possess a valid driver’s license. Must be able to lift 50 pounds and safely move up to 80 pounds with assistance from coworkers or use of mechanical devices.
