We are seeking exceptional Pretoria-based candidates for the USAID Southern Africa Energy Program (SAEP).

The USAID Southern Africa Energy Program (SAEP) works to advance energy policy and regulatory reform, and accelerate investment to increase power generation and access to electricity throughout the region. According to World Bank data, less than 25% of the non-South African population living in the Southern African region have access to electric power. The limited reliable power affects the competitiveness of Southern African industry, agriculture, and the economic opportunity and health conditions for rural populations, women, and youth. Through strengthening the enabling environment and facilitating public and private transactions, SAEP leverages the momentum of private investment to help focus SAEP’s resources in ways that best support the reform of national and regional energy ecosystems. At the same time, SAEP produces the tangible results needed to create a sustainable cycle of additional reforms, increased investment and continued political will.

Position Description, Objective & Responsibilities:

The Logistic Assistant / Project Driver will support the SAEP Team in the successful implementation of all aspects of the Program’s Work Plan and achievement of the Program objective. Specifically, the Logistics Assistant / Project Driver will be responsible for ensuring that all SAEP activities in relation to planning, organizing, and executing the SAEP program in regards to travel, logistics, procurement and event arrangements and activities be executed in a professional manner. 

Duties:

Logistic Assistant:
Assist with travel arrangements (booking of flights/hotels, arrange hotel/airport pick-ups, Etc.), ensuring that the necessary logistical arrangements are in place:
Generate/Modify Travel Approval Requests (TARs) according to USAID requirements, and maintain the SAEP Monthly Travel Schedule;
Facilitate the process of arranging and booking airline tickets through the local and international travel agents;
Arrange airport transfers and transportation with designated hotels or drivers to ensure the SAEP Team movement thought the Southern Africa region is smooth and error free;
Facilitate the process of booking SAEP Team members’ accommodation in the Southern Africa Region through a hotel, and facilitate the payment process thereof locally and internationally.

Assist with maintaining a log of hotel/lodging addresses and contact information where SAEP’s personnel/guests are staying:
Coordinate with all Country Managers to ensure that they are aware of all travel to their respective countries;
Monitor visa regimes throughout Southern Africa to ensure that optimal travel preparation occur and support travellers to obtain all required visas; and
Coordinate with the PMO to maintain the SAEP Trip Report Tracker.

Project Driver:
Assist with maintaining a record of all logistics and transportation needs for project personnel;
Assist with coordinating transportation needs for all project personnel;
Maintain and coordinate project vehicle to ensure efficient use of resources;
Coordinate daily with the Logistics Manager on project vehicle use and transportation needs for the project, including transportation logistics for SAEP personnel to and from hotels, events, residences, airport, and counterpart locations;
Assist with maintaining a schedule of incoming and outgoing flights for SAEP personnel, including flight numbers and contact information, and coordinate timely airport drop-off/pick-up;
Deliver and collect correspondence, materials, equipment, etc. to and from various destinations and maintain a log/record of collection and drop-off;
Assist with maintaining a log that shows the mileage/km run for each trip taken by the project vehicle and the petrol and oil usage to ensure the fuel tank does not fall below the half tank mark;
Ensure that when the vehicle is not in use, it is securely locked and left at SAEP’s premises, except when permission is given for it to be parked elsewhere;
Communicate maintenance dates for project vehicle(s) to Logistics Manager and maintain a servicing log for the project vehicle(s);
Ensure that no unauthorized passengers are allowed to travel in the project vehicle and that no unauthorized journeys are taken;
Ensure safety within the vehicle and while driving the vehicle, including passengers using seatbelts, driving within the speed limits, complying with current security regulations and protocols, prohibiting smoking in the vehicle;
Ensure that the vehicle is kept clean and tidy at all times; and
Monthly reconciliation of e-toll and fuel receipts.
Minimum Skills, Education & Experience:
Matric Certificate, a National Diploma will be an added advantage.
A minimum of three (3) years of administrative experience.
Experience and competencies in working in a multicultural environment.
Proficiency with computers and office-related software including Word, Excel, Power Point, and Outlook will be an added advantage.
Excellent driving record.
Valid South African driver’s license with PDP.
At least 5 years of work experience as a driver, preferably for USAID, US Embassy, or other international donor-funded projects.
Strong individual initiative, including the ability to manage daily activities and achieve expected results with minimal oversight.
English language fluency (strong written and verbal skills) required.
Excellent computer skills (Word, Excel, Power Point, and Outlook).
NOTE: Only South African citizens or South African permanent resident permit holders will be considered for this role. No relocation cost will be covered by Deloitte Consulting Overseas Projects LLC or the USAID Southern Africa Energy Program.
