PURPOSE
To facilitate tenancy and administer leasing of LNDC properties. The incumbent reports to the Senior Leasing Officer.
KEY RESPONSIBILITIES
1. Occupation Applications & Property Allocations
- Develop a repository of information that details the characteristics of properties within the LNDC portfolio i.e., categories of commercial/industrial/residential, floor space, amenities etc.
- Identify property suitability based on the requirements of potential tenants, as provided by line management.
- Support potential tenants with the applications process, directing them to relevant LNDC documents which stipulate supporting documentation.
- Arrange site visits and receive applications and assess them for completeness, following up with applicants to request outstanding documentation.
- Preparation of documents for vetted applicants for presentation to Allocations Committee.
- Send prepared rental agreements to tenants, detailing responsibilities to sign and return the contract to the organisation.
2. Leasing Reports
- Keep track of leasing issues as a record for both LNDC as well as tenants.
- Maintain an accurate account of delegated properties which are vacant, leased etc., detailing when leases need to be renewed.
- Remain aware of the impact of leasing decisions made by the LNDC that will affect properties within the portfolio.
- Communicate decisions made to LNDC tenants to keep them informed.
- Conduct property audits.
3. Aftercare Service Provision
- Receive and respond to queries from LNDC building occupants regarding unclear contractual clauses, billing, maintenance etc.
- Consolidate and escalate unresolved issues regarding aftercare services to line management for resolution.
4. Resource Management
- Determine resource needs within own area of responsibility.
- Request required assets and resources for the fulfilment of work duties.
- Use assets and resources optimally within own area of responsibility.
- Stakeholder Relations
- Communicate with all relevant departments on issues of the area of specialisation.
- Communicate with internal and/or external stakeholders, where required, to achieve work objectives and to maintain relationships.
- Verification of municipal/local authority bills for payment.
- Management of service providers deployed at estates within one’s portfolio.
- Representation, as witness in the court of law on property related issues.
QUALIFICATIONS AND EXPERIENCE
- Degree in Property/Real Estate Management or Built Environment.
- 3 years’ experience in the acquisition and management of property and tenancy.
TERM OF CONTRACT
Permanent and Pensionable terms of employment.
