Learning Administrator – Fixed Term Contractor (FTC) ( P11 )

To provide a coordination and training administration service to a specific unit as part of the Learning team.

MAIN RESPONSIBILITIES

Training planning

  • Proactively arrange venues, facilitators travel and accommodation, equipment and other related items using confirmed training participation reports from the learning system.
  • Create classroom schedules on the learning system for the events in the 90 days plan.

Measures and reporting

  • Help employees and managers understand what reporting is available on the learning system.
  • Draw reports for the Project Leader or Learning Manager on request.

Learning solutions and content

  • On request, obtain updated training content for internal training courses and ensure that it is sent to the learning system.
  • Assist with the development/compiling of training manuals.

Learning channels

  • Drive the utilisation of the Sappi learning management system by helping employees and line managers browse for training, create development plans, book and approve training, use the online collaboration tools and run the system reports.

Learning operations and governance

  • Explain the learning policy and process requirements to employees.
  • Maintain course completions and follow up with facilitators for the uploading of attendance registers.
  • Monitor that evaluation questionnaires are completed for third party training and escalate to the Learning Manager if there are gaps.

Projects

  • Typing training manuals ensuring the correct formatting and layout requirements are met.
  • Scheduling trainees and training staff activities.
  • Manage the training facility ensuring classroom readiness for the trainees as well as availability of all stationary and office equipment requirements.
  • Assist trainees with work related issues.
  • Maintain training files for all trainees.
  • Ensure preparation of daily lesson plans.
  • Manage diaries of trainers and project personnel.
  • Responsible for travel and accommodation requests.
  • Manage all daily training activities in the absence of the trainers/project leader
  • Accurate minute taking and publishing thereof.
  • Format and type progress reports when needed.
  • Answers all telephonic calls, takes messages and deals with inquiries concerning the training project.
  • Keeps track of all expenditure.
  • Manages stores requisitions.

REQUIRED MINIMUM QUALIFICATIONS / EXPERIENCE

  • Grade 12
  • 1-3 years administration experience preferably in a learning function
  • Learning system administration experience would be advantageous
  • Studying towards a Diploma in Administration or Human Resources Development would be an advantage
