mothers2mothers (m2m) is an Africa-based NGO that unlocks the potential of women to eliminate paediatric AIDS and create healthy families across eight sub-Saharan African countries. m2m trains, employs, and helps empower HIV-positive women to work as community healthcare workers in understaffed health centres and underserved communities. Through a peer-to-peer approach, these ‘Mentor Mothers’ deliver a range of health services, advice, and support to women and their families. Human Resources Administrator

The Human Resources Administrator is responsible for providing HR administrative support at Head Office and in country programmes where there is no in-country HR Representative. This role will specifically focus on recruitment, HR administration, HR processing for payroll, systems administration and employee leave management. This position reports to the HR Business Partner and is based at m2m Head Office in Cape Town.

Key Performance Areas:

  1. HR Administration and Support
    Provide administrative support to the Human Resources Team in terms of general HR administrative and filing functions.
    Work closely with the HR Team in providing general HR assistance and support including the ESS leave management system; process and capture all employee details on the HR Management system as delegated by HR Business Partner.
    Assist with the admin functions of invoice and expense claim processing, prepare payments for approval and handle payment queries.
    Updating and maintenance of HR organisational charts.
    Providing basic administration support on the Employee Management system (such as sending out birthday cards and other relevant notifications).
    Assist with the rollout of ESS to all m2m employees (office and site) including signup and enrolment; communication; capacity building and trouble-shooting.
    2.    Recruitment, Selection and Orientation/On-boarding
    Support the recruitment and selection process at the Head office and country programme level by providing clerical and administrative assistance.
    Assist with the arranging of interviews and administration related to the recruitment process.
    Support the HR team with logistical and administrative preparation for on-boarding of new employees and orientation workshops.
    Coordinate the notification to the organisation of joiners and leavers.
    Support with the updating of job descriptions.
    3.    Learning and Development
    Working with the Senior HR Business Partner coordinate and manage the m2m online learning portal, maintain and coordinate the portal and catalogues, run quarterly usage reports, develop learning pathways and input into the organisational learning strategy and implementation thereof.
    Assist with learning needs assessment, employee registration on the online learning portal and marketing of the online courses.
    Build the capacity of the Global HR Team and m2m employees.
    4.    Knowledge Sharing and HR Projects
    Design, coordinate and manage the HR SharePoint TeamSite in collaboration with the Senior HR Business Partner, update and create employee access to all relevant HR documents on the HR SharePoint TeamSite or other portals as needed to promote knowledge sharing and institutional knowledge.
    Maintain all HR documents and templates. Conduct annual audits to assist in keeping them updated.
    Create a repository for all HR documentation (such as job descriptions, policy documents, benefits matrix, grading matrix etc.).
    Take on the role of HR TeamSite and SharePoint Super User. Capacitate the team on how to use the various functionalities of the SharePoint platform as well as other information sharing platforms.
    Communicate with the Global HR Team on the TeamSite and help to build team capacity in accessing the site and resources.
    Work with the HR Team to develop and implement identified HR projects as per the work plan and other assigned people projects and HR calendar activities.
    Qualifications and Experience:
    A Diploma in Human Resource, Administration or a relevant degree is preferable
    2-3 years’ experience in HR administration
    1-2 year’s work experience in an NGO preferable
    Competencies:
    Proficiency in MS Office Suite, VIP Premier, ESS and online learning systems
    Well-developed interpersonal skills and ability to handle confidential matters in a professional and ethical manner
    Good understanding of human resources & administrative skills (fair understanding of payroll and other employee benefits, leave administration, etc.)
    An interest in developing presentation, facilitation, written and verbal communication skills
    Good planning and organising skills
    Self-starter, with the ability to work independently and be proactive
    Ability to work with high volumes of work and remain effective and efficient
    Ability to work well under pressure without compromising work quality or standards
    Ability to integrate into a team and to provide positive contributions
    Demonstrates personal initiative, empathy and takes responsibility for own actions
