Human Resource & Operations Officer (Fixed-Term Contract)
Reporting to: General Manager Experience: Minimum 5 years relevant experience, including 3 years in the similar position
Key Responsibilities
- Coordinate day-to-day operational support across head office and district shops (admin systems, compliance files, standard forms, communication flow).
- Maintain and enforce office + field SOPs/checklists (opening/closing, cash-handling controls, documentation standards, incident reporting).
- Support fleet and logistics administration: vehicle booking schedule, service/maintenance tracking, fuel/repairs file, trip authorisations, and driver log controls.
- Coordinate travel and field-work logistics (accommodation, per diem paperwork, attendance registers, activity schedules) and ensure supporting documents are filed properly.
- Support internal controls and audit readiness: ensure operational files are complete (approvals, delivery notes, registers, signed confirmations) and easy to retrieve.
- Coordinate procurement/admin follow-ups (supplier requests, quotations filing, purchase requisitions, delivery confirmations) in line with internal approval processes.
- Maintain operational trackers (weekly action tracker, shop admin compliance tracker, asset register support) and follow up with responsible staff until closure.
- Support project operations documentation (registers, consent forms where needed, field activity evidence filing) so reporting is always backed by records.
HR (Support Function)
- Coordinate recruitment administration: adverts, shortlisting packs, interview scheduling, reference checks coordination, and onboarding checklists.
- Maintain HR records: staff files, leave, attendance, warnings, training records, and confidentiality documentation.
- Prepare monthly HR inputs for payroll readiness (attendance summaries, leave reports, claims documentation) and submit to Management on time.
- Support performance management administration: appraisal schedules, probation reviews, training needs tracking, and disciplinary documentation (process-compliant).
Minimum Requirements
- 5+ years relevant experience; 3+ years in the similar role
- Strong operations administration experience (multi-site/field teams is a big advantage)
- Strong filing, controls, and reporting discipline (audit-ready mindset)
- Good Excel/Word skills (trackers, registers, summaries)
- High confidentiality, professionalism, and ability to follow up firmly but respectfully
