1. Main Function of the Role
The HR and Operations Administrator provide administrative support across HR and Operations functions, ensuring smooth day-to-day business processes. This role involves record keeping, recruitment support, payroll and benefits administration, and general office administration to enable operational efficiency.
2. Key Performance Areas
General Administration:
- Create and distribute HR and operational documents.
- Answer telephone calls and manage correspondence.
- Compile reports, spreadsheets, and meeting minutes.
- Provide 100% relief for receptionist duties when required.
Recruitment Administration:
- Assist with recruitment processes, including scheduling interviews and collecting employment information.
- Conduct background and reference checks.
- Prepare new employee files and ensure completion of personnel and benefits documentation.
Payroll and Benefits Administration:
- Reconcile employee information for payroll processing.
- Track absenteeism and handle deserter notifications.
- Maintain accurate records related to payroll, benefits, and workers’ compensation.
Record Maintenance:
- Maintain updated employee files and terminate documentation for exit processes.
- Ensure accurate submission of workers’ compensation and labour documentation.
- Maintain office machinery, inventory, and liaise with vendors for supplies and uniforms.
- Ensure disciplinary documentation is complete and uploaded correctly on digital platforms.
Petty Cash:
- Handle and manage the petty cash process responsibly.
3. Qualifications and Experience
- Minimum Qualification: LGCSE or COSC.
- Experience: Previous experience in the Quick Service Restaurant (QSR) industry is an advantage.
