HR and Administrative Assistant:

This position is based in Pretoria and provides support to the HR Manager and Office Manager/Training Coordinator in the running of the Office and assisting with all logistics relating to HR the Medical Male Circumcision DSD and Training Programme across the country as well as the Pretoria Office. The candidate will also liaise and collaborate closely with the rest of the training and project management teams (Deputy Chief of Party, Project Manager, M&E and QA Manager, Compliance Manager). S/he will ensure adherence to HR legislation, policies, national standards/protocols as well as managing leave records and performance measurement systems. 

Requirements include: Degree in HR or Administration or relevant Tertiary qualification or equivalent. At least 1 years’ experience and successful placement in similar position of a major donor-funded project. Computer literacy (i.e. MS Word, PowerPoint, MS Outlook, Excel) compulsory. Accuracy, confidentiality and coordination skills. Ability to work under pressure and remain meticulous, friendly and courteous. Excellent interpersonal and communication skills. Ability to liaise with a diversity of people at all levels. Ability to use initiative and remain flexible. A highly organised individual. Attention to detail. Ability to multitask. Good time management skills.

HR and Administrative responsibilities include: The successful applicant will support the work of the HR Unit by performing a variety of tasks. In this position, your primary duty will be to collect and manage all data pertaining to employees, but you will also be involved in creating a great corporate culture as well as assisting with the recruiting, hiring, onboarding and training opportunities of new employees.
In addition, this position will provide administrative support to the MD, CFO and DCOP. S/he will be performing full administrative functions; these include (but are not limited to) diary management, arranging conference calls, setting up appointments, and meeting and greeting scheduled visitors to the office; placing orders (stationery, coffee, etc.); accommodation for the staff; Arranging and coordinating ad hoc conference/meeting events; Handling other ad hoc administrative tasks as delegated by management; Managing of courier services for staff; Coordinating and maintaining all meeting/training rooms. Administrative support to Interns placed with the company.

We need Interns in the following areas:

  1. Data Capturer (Monitoring and Evaluation Support):

The successful applicant will support the work of the Monitoring and Evaluation Unit by performing a variety of tasks. These will include capturing data, maintaining and updating database, monitoring and evaluation site visits. The Intern should have strong quantitative, qualitative and analytical skills. Excel spreadsheet and other Ms Office application skills.

  1. Stores and Fleet Management (Logistics Support):

The successful applicant will support the work of the Office Management Unit by performing a variety of tasks. These will include inventory control, regular physical verification of assets, expired inventory items disposed of in a correct manner, fleet management. Excel spreadsheet and other Ms Office application skills necessary.

  1. Training Administration / Anchors (Training Support):

The successful applicant will support the work of the Training Administration Unit by performing a variety of tasks. These will include: Coordinate with training participants during the courses and ensure that all technical requirements are fulfilled, work with the Office Manager to draw up, maintain and update schedule of trainings, ensure timely availability of training manuals and materials including training stationery, develop and maintain training checklist, review training requests according to checklist, handle enquiries related to training with Support/ Administrative staff, be back-up administrative support to Operations for all logistical matters related to trainings, provide back-up administrative support to the Office Manager, as needed, be available for some trainings to assist with logistics and administration or other non-direct training activities such as Training Anchoring
