What We Want
We seek a skilled and detail-oriented consultant to support the end-to-end administration of our grants portfolio. This includes onboarding new grantees, maintaining grant documentation, tracking deliverables, and ensuring compliance with internal and donor reporting requirements.
Scope of Work and Deliverables
The consultant will be responsible for the following:
Grantee Onboarding & Support
- Develop and deliver a standardised onboarding package for new grantees, including orientation guides and compliance checklists.
- Conduct virtual onboarding sessions with each new grantee within 10 business days of grant approval.
Payment Coordination
- Coordinate with the Finance Team to ensure first and final grant payments are processed upon receipt of required documentation.
- Maintain a tracker of payment statuses for all active grants.
- Process grant amendments, including no-cost extensions or contract adjustments, in line with ANF’s grants policy.
Grantee Reporting & Documentation
- Maintain and monitor the reporting schedule for all active grants.
- Review, summarise, and file all submitted grantee reports within 10 business days of receipt.
- Ensure 100% of grant documents are stored using ANF-approved digital filing systems.
Process Improvement & SOPs
- Draft and submit templates, checklists, and standard operating procedures (SOPs) for grants administration workflows.
- Maintain a log of learnings and process feedback to inform future improvements.
- Revise documentation based on feedback from relevant ANF team members.
Grants Data Management
- Maintain the grants dashboard with up-to-date data on grant status, deliverables, and reporting.
- Submit quarterly analytics report summarising portfolio progress and key trends.
- Set up and manage automated systems for reporting reminders and contract timelines, where applicable.
Collaboration & Communication
- Participate in check-in calls with the Community Building, Partnerships and Operations teams as needed.
- Respond to grant-related inquiries from ANF team members within 2 business days.
Consultant Profile
- Minimum of 5 years’ experience in grants administration or program operations within NGOs, donor collaboratives, or philanthropic entities.
- Proven ability to work independently and manage multiple grant files across countries.
- Strong organisational and documentation skills, with experience using digital grant management tools.
- Familiarity with donor compliance, data protection, and remote collaboration.
Reporting
The consultant will deliver outputs to the Chief Operating Officer or their designate.
