Job Description:

Job Description Summary

The Grant Accountant(s) will manage grant accounting and budgetary functions for one or more Grant funded projects, to ensure compliance with Grant financial regulations, WVI requirements, financial reporting and documentation. The Grant Accountant(s) will coordinate closely with the Project Coordinator and Senior Grant Accountant.

Roles and Responsibilities:

Monitor Grants Expenditure (20%)

  • Monitor actual grant expenditures against approved donor budget line items on a monthly basis; alert on any irregularities and make recommendations concerning the re-negotiation or approved grant budget line with the support office where appropriate.
  • Ensure that the grant expenditure tracking/monitoring system is updated at all times,
  • Ensure all relevant grant information is accessible on a timely basis and properly summarized.
  • Monitor the exchange rate and ensure correctness of all the transactions.

Maintain working relationships with the Support Office (10%)

  • Maintain strong communication with the finance from support office, and attend to any requests by the donor made through the support office in a timely manner.

Update financial systems (10%)

  • Importing the voucher interface into sun systems and putting the journal on hold for further review before posting;
  • Ensuring that only transactions relating to the project are charged to the grant.

Payroll and staff salary obligations (10%)

  • Preparation of Salaries Journal and payroll reconciliations on a monthly basis for the Grant based on Labour Distribution Report allocations.

Budget Preparation  (10%)    

  • Participate in any approved grant budget revisions as needed and meaningfully represent finance office in monthly spending monitoring meetings.

Ensure financial compliance (10%)

  • Ensure that only allocable and allowable costs are charged to the project and expenditure charging follows WVI chart of accounts;
  • Ensure the effective collection and timely review of all supporting documents;
  • Ensure all employee advance issued are retired on time within WVI timelines.

Financial Reporting (20%)

  • Clearing and reconciliation of balance sheet accounts relevant to the project.
  • Prepare funding Forecasts and Cash flow statements, and share with the Project Coordinator, Senior Grants Accountant and Grants & HEA Manager.
  • Prepare monthly activity reports reflecting spending by location and consolidate project spending.
  • Assist in monthly preparation of variance explanations in consultation with project coordinators and all other project staff.
  • Timely preparation of Pre-Approvals for the project where necessary.
  • Ensuring all Pre-Approvals are settled on timely and expenses are included in the project expenditure
  • Review financial documents that need to be retained and scanned to the donor to ensure that they are adequate and correct.
  • Prepare monthly financial reports.

Review and payment of requisitions (10%)

  • Timely review of requisition relating to the project in the Provision procurement system.     
  • Rotationally assure responsibility with other accountants’ issuance of petty cash to staff members.
  • Ensuring suppliers relating to the project are paid on time and all necessary follow-ups are done.

Qualifications:  Education/Knowledge/Technical Skills and Experience

  • The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
  • Must have B.A degree in accounting or relevant fields;
  • Requires at least two years related experience from a donor funded agency, preferably with EU   funded projects;
  • Advanced level of MS Excel and Proficiency in MS Package, Internet; Basic data analysis skills;
  • Experience of using PowerBI Reporting will be an added advantage;
  • Requires knowledge of Generally Accepted Accounting Principles (GAAP), and practical knowledge of financial systems and internal financial controls and procedures;
  • Previous grant accounting and budget preparation experience is preferred;

  • Dedicated team player with ability and experience to work in a multidisciplinary team;
  • Requires good communication skills (oral and written) and the ability to make oral presentations in the donors’ language;
  • Honesty and personal integrity, accountability and quality achiever.
  • Willing to adhere to all WV child protection and integrity standards.
  • Willingness to quickly familiarize themselves with EU budgetary regulations and stay up to date about changes in donor requirements.
  • Preferably a committed Christian.
  • Fluency in English is required

Remuneration:

Competitive with market standards.
