The Graça Machel Trust seeks to appoint a Receptionist and Admin Assistant to be based in Sandton.

Employment type: Fixed-term contract

Start date: Immediately

The purpose of the position is to act as the first point of contact for visitors and callers to the Graça Machel Trust and to undertake a range of other administrative tasks as identified.

Reports to: Finance and Administration Manager

Responsibilities:

The purpose of the position is to take care of all front-of-house functions professionally and efficiently and general office administrative support including:

  • Reception Management and Switch Board Operation;
  • Visitor Management;
  • Post, courier and delivery coordination and management;
  • Minutes taking and filing;
  • Logistics / Event management Support;
  • Facilities Management coordination and support;
  • Management of office supplies;
  • Provide administrative support to CEO as and when required.

Requirements:

  •  Education
    • Office administration or other relevant qualification
  • Experience
    • A minimum of 3 years’ experience in a similar position, including experience in reception and office administration.
  • Knowledge, skills and abilities
  • Numeracy and literacy skills
  • Computer literate in MS Office suite
  • Organization and planning skills, ability to multi-task
  • Good problem-solving ability
  • Good interpersonal skills
  • Attention to detail
  • Accuracy, flexibility, reliability and teamwork
  • Effective verbal and listening communications skills
  • Customer service experience
  • Maintaining a consistent professional attitude
  • Telephone etiquette

General Requirements

  • Driver’s licence (desirable)
  • High proficiency level in English
  • Must be eligible to live and work in South Africa
