TITLE : Fleet Officer
DEPARTMENT : All Departments

SUMMARY:
To oversee the daily operations of outsourced PSI vehicles and make allocations as per need. Work as part of a team under the guidance and supervision of the Administration Manager or supervisor.

This position is based in Maseru and Reports to Administration Manager
Duties and responsibilities:
 Ensures that PSI vehicles are kept clean and tidy and in functional order
 Checks for other repair and maintenance areas not covered by the services e.g. recommend tyre change if necessary
 Performs a monthly maintenance and service tracking and recommend required action.
 Ensures that vehicles are parked in the designated areas every day
 Keeps vehicle keys in a safe place
 Checks and reports to Management any vehicle abuse
 Performs monthly vehicle spot checks and report any defects to Management
 Keeps files for each vehicle which should include any significant event e.g. accidents, service history etc
 Assists Supervisor with assigning vehicles as per departmental requests
 Assists Supervisor in doing vehicle and fuel reports on a monthly basis
 Conducts driving tests for all who will need to drive PSI vehicles
Rental Vehicles
 Verify the mileage on the log books against the submitted invoices.
 Ensure that all hired vehicles’ log books are maintained, up-to-date and are in compliance with PSIs Standard Operating Procedures.

 Undertake periodical spot checks of hired program’s vehicles.  Allocate hired vehicles to different site offices and facilitate any changes that may be needed in such allocations.

 Ensure that hired vehicles invoices are properly verified and checked for any errors before submission to the finance department.
 Liaise with the procurement department in ensuring that the hired vehicles meet the standard requirements of PSI before they are engaged.
 Keep track record of the hired vehicles maintenances and liaise with the vendors on the replacement vehicles when need arises.
 Perform any other duties as may be assigned.
 Any other jobs assigned by Supervisor and/or Management.

EDUCATIONAL QUALIFICATIONS AND WORK EXPERIENCE:
 Degree in Public Administration or Business Administration
 Two years’ experience working in the field of fleet management or logistics
 Five years’ experience as a driver.
 Previous experience working in the NGO sector will be an added advantage.

KEY COMPETENCIES:
 Ability to communicate both in English and Sesotho
 Ability to pay attention detail.
