Finance and Program Assistant

The Solidarity Center, an International NGO focused on labour and worker rights issues, is seeking candidates for Finance and Program Assistant  for the Lesotho office in Maseru. The Finance and Program Assistant works under the direct supervision of the Deputy Country Program Director (D-CPD) to ensure and track the basic day-to-day financial and accounting tasks and help with financial data entry and general bookkeeping. The person is responsible to provide day-to-day support to the program and finance staff in Southern Africa.

This Finance and Program Assistant  will be the primary contact between accounting and  the assigned units regarding accounting matters, assisting with the development, writing and implementation of Solidarity Center programming within Lesotho. The person must be thoroughly conversant with all aspects of program activities and current events relevant to the ongoing political, economic, and social developments in the region. The person must also have experience in program development, implementation, and reporting.

The Finance and Program Assistant  will be based in Maseru but must be able and willing to travel frequently within Lesotho and Southern Africa.
 
Summary of Position: The Finance and Program Assistant is responsible for all aspects of accounting and reporting of the Solidarity Center Lesotho Office. The Finance and Program Assistant serves as the main resource to the D-CPD in monitoring and controlling budget vs project(s) spending and ensuring the office’s compliance with policy and procedures of the organization. The Finance and Program Assistant keeps the Director of Finance in the Head Quarter informed of any financial matters of a high amount of significance, with the assistance of the South Africa Operations and Finance Specialist. The Finance and Program Assistant also assists the D-CPD in ensuring compliance with all the Kingdom of Lesotho government laws and regulations. The Finance and Program Assistant will ensure that the various accounting and reporting functions are carried out in a timely and accurate manner. The Finance and Program Assistant  will be the primary contact between the Field Office and the Head Quarter Finance Department regarding accounting matters, with the assistance of the South Africa Operations and Finance Specialist.

Responsibilities:

  • Work closely with finance and program team to keep track of program finances and activities and verify accuracy of information.
  • Prepare payments vouchers and manage invoices
  • Prepare spreadsheets for data entry, including filing, scanning, and inputting invoice details
  • Provide programmatic, financial, and administrative support
  • Basic bookkeeping duties to keep track of incoming and outgoing payments
  • Respond to program and finance queries by telephone and email
  • Create and monitor program budgets and complete a cost analysis report
  • Prepare and distribute checks to employees and vendors
  • Complete and submit tax returns and national insurance contributions
  • Maintain office calendars and send out information of impending appointments and reports
  • Provide administrative duties to support the team(s) in completing projects efficiently and within budget as well as update and maintain financial records
  • Type letters and reports as may be required from time to time
  • Maintain physical personnel office records
  • Assist in planning and overseeing program activities.
  • Drop off bank deposits
  • Represent the Solidarity Center as directed
  • Other duties as assigned

Requirements:

  • A bachelor’s degree or diploma in accounting or finance;
  • Minimum of three years’ experience in accounting in the NGO sector;
  • Experience in QuickBooks accounting software, Microsoft Office Suite, and advanced knowledge of spreadsheets.
  • Ability to administer and execute financial processes and transactions;
  • Good administrative and interpersonal skills;
  • Ability to train staff in financial systems;
  • Experience in payroll administration;
  • Ability to monitor and control banking activities;
  • Willing to travel extensively;

Remuneration: A negotiable package commensurate with the responsibilities of the position and the abilities and experience of the candidate will be offered.
