Skateistan is an award winning international nonprofit organisation, which uses the hook of skateboarding to engage with youth. Skateistan provides sport and educational opportunities to youth ages 5 to 17 in the Johannesburg area.

Skateistan seeks to appint a Finance Officer, to be based in New Doornfontein, Johannesburg.

The purpose of this position is to oversee all financial transactions of the organisation; manage daily cash inflows and outflows, manage the organisation’s bookkeeping as well as managing local tax compliance, legal contracts, and general financial  administration. The Finance Officer overviews monthly expenses, gets the necessary approval and reports on the variance towards the budget allocated to the management. The Finance Officer will collaborate with the Finance Director based in Skateistan Berlin to improve the organisation’s procedures as well as any training and technical issues. The Finance Officer will work hand to hand with the General Manager of the school in Johannesburg to keep the management aware of its finances. Responsible for all necessary elements associated with the day-to-day operations at the school. The Operations Officer specifically focuses on the areas most related to actual operations of a school, such as utilities, procurement, transportation, maintenance, and security – and acts as the point of contact for each of these areas.

Responsibilities:
Finance:
Enforcing all of Skateistan’s finance and procurement policies and safeguarding the organization’s assets
Ensuring all of Skateistan’s legal documents are up to date and on file
Making sure Skateistan has accurate finance records and manages its cash correctly
Daily bookkeeping including preparation of petty cash vouchers, posting daily entries into Xero, counting and reconciling cash held in safe
Maintaining tidy and logical accounting records for each year. Ensuring that receipts are filed according to month and can be located if necessary
Tracking cash levels at the school and notifying Finance Director well in advance when cash levels are low
Banking duties including preparation of transfers, updating Xero with latest bank statements
Assisting with local payroll
Uploading receipts to the accounting system
Being main point of contact with Payroll Advisor to ensure salary taxes are correctly calculated and returns are filed
Managing the inventory of Skateistan merchandise and keeping accurate inventory records
Completing inventory counts as necessary (quarterly counts would be best)
Weekly review of the budget and spending each week
Weekly meetings with the Finance Director and communicating any issues as soon as they arise
Updating Skateistan’s fixed asset register every month
Updating Skateistan’s donated equipment register every time an equipment donation is received and making sure there is a donated equipment agreement for each donation
Assisting the Finance Director and General Manager with  annual budget, drafting financial reports for donors, drafting annual financial statements
Acting as main liaison for auditors
Prepare local employee contracts with assistance of the General Manager and Project Director
Record digital and hard copy files of each contract for easy reference at project location
Maintain up to date staff information and records
Maintain records of all Skateistan equipment given to staff/volunteers

Operations:
Procurement for all areas of operations including, but not limited to: utilities, transportation, maintenance, and programs
Maintain spending within budget constraints in each of these respective areas
Responsible for transportation costs (fuel, repairs, etc.), vehicle maintenance schedules, and collection of fuel logs from drivers
Oversight of maintenance of facility – including electricity, plumbing, heat and other basic utilities
Daily inspections of entire facility
Overseeing daily cleaning of facility
Delegation of daily tasks to cleaners and maintenance crew
Procurement of skilled labour for tasks that cannot be completed by local staff
Doing monthly inventory of first-aid supplies and procuring items that are out of stock
Overseeing security of facility
Delegating daily tasks to security guards
Performing government-related tasks for local operations including international visas, delivering reports and documents to ministries, vehicle registration, driving licenses, etc

The Finance & Operations Officer will also be responsible to perform any reasonable task asked by Skateistan management
Required:
Minimum professional and academic qualifications:
Qualification – Bachelor’s degree, ideally in business, management or  finance

Minimum years of experience:
Experience – 1-3 years bookkeeping experience

Competencies and Knowledge:
Excellent interpersonal skills; ability to establish and maintain effective working relations with people in a multicultural, multi-ethnic environment with sensitivity and respect for diversity
Fluency, both written and spoken, in English and local language at the professional level
Computer skills using MS office (Word, Excel, PowerPoint, etc.)
Accounting software and database experience a plus
Excellent interpersonal, communication, public speaking, and strategic planning skills required
Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently
Excellent time management skills and resourcefulness with strong attention to detail
