JOB SUMMARY
Under the supervision of the Senior Executive Officer, the incumbent is responsible for coordination of registry activities, registration and classification of open and confidential correspondence, supervision, and training of registry staff.
MAIN DUTIES
1.0 Security of the Office and Registry
1.1 Plans and coordinates general activities of the department’s open and confidential registries on a daily basis
1.2 Arranges proper filing systems for easy access, reference, and retrieval
1.3 Assigns work to staff for even distribution and to ensure effective daily operations
1.4 Checks that all correspondence is properly filed in relevant files and kept safely after action has been taken
1.5 Keeps all files securely locked
1.6 Conducts on-the-job training for registry staff to familiarize them with their roles
1.7 Appraises subordinates quarterly to ensure work is done according to plan
2.0 Distribution of Correspondence
2.1 Ensures that correspondence is properly distributed to the appropriate action officers after circulation to enable necessary action
3.0 Supervision of Staff
3.1 Supervises Assistant Executive Officer, Messengers, Cleaners, and Gardeners to ensure the smooth running of office operations
JOB SPECIFICATION
- Diploma in Records Management or Diploma in Public Administration
OR - Certificate in Office Administration and Management plus at least two (2) years of working experience in a related field
OR - COSC plus at least three (3) years of working experience in a related field
NECESSARY KNOWLEDGE AND SKILLS
- Microsoft Office Suite
- Records Management
- Strong Communication Skills
- Customer Service Orientation
