JASS is a feminist movement support organisation that strengthens the voice, visibility, leadership and collective organizing power of women for a just and sustainable world for all. We equip and strengthen the leadership and organising capacity of women leaders and their organisations in Mesoamerica, Southeast Asia, and Southern Africa.

Our feminist movement-building work supports marginalized women leaders (indigenous and rural land defenders, sex workers, garment workers, LBTQI+, HIV+, and young activists) in critically unpacking the power dynamics affecting their lives from the personal to the public, from the local to the global, as to change the systems, structures and beliefs that perpetuate inequity, injustice, and violence. Our tested approach enables the conditions for women to organise, mobilize and transform power in four areas of their lives: Bodies, Voice, Resources, and Safety.

JASS seeks to appoint a Executive Coordinator (EC) to be based GLOBAL.

POSITION: Full-time (remote for the foreseeable future)

POSITION TO BE FILLED: June 2022

Reporting directly to the Executive Director (ED), the EC will keep the ED organized, informed, and prepared by providing high-level administrative, coordination and logistical support in a one-on-one working relationship. The EC will also serve as a liaison and support to the JASS Board and senior management teams. They will organize and coordinate outreach and external engagements as well as oversee and coordinate special projects. This is not a purely administrative role; it is also a strategic and facilitative one that requires building relationships and staying connected to all of the organisation’s inter-connected parts. The successful candidate will be a strong communicator, dedicated problem solver, and flexible shapeshifter in a fast-paced, agile and dynamic environment.

It is essential that the EC values and thrives in JASS’ ecosystem and has a deep desire to listen to, learn from and collaborate with the ED, senior leadership and our talented and diverse teams. ROLES AND RESPONSBILTIES:
Executive Support:

Acts as the high-level coordinator for the ED, with the primary goal of optimizing her time and coordinating information flow between the ED and internal staff and external partners. This involves planning and coordinating the ED schedule including ensuring pace and balance; responding to and prioritizing requests for time and rescheduling when necessary; resolving any scheduling issues across the JASS ecosystem; preparing attendees by sharing dial-in details and meeting goals; keeping the ED well informed of and prepared for upcoming commitments and responsibilities.
Takes a detail-oriented and hands-on approach to supporting and prioritizing the ED’s heavy load, including triaging email follow up and clean up, drafting acknowledgement letters and internal and external written correspondence on her behalf, uses judgement and discretion to directly resolve and respond to certain requests or problems (engaging other staff as needed).
Builds relationships of trust and acts as a liaison for the ED to ensure consistent communication and the involvement of relevant people with regards meetings and/or processes.
Shadows the ED in key internal and external meetings and ensures timely and effective follow up and completion of tasks and initiatives of the ED. Supports the ED in meetings by taking notes and assuming responsibility for tracking and follows up on action items.
Completes a broad variety of administrative tasks including: expense reports; timesheets; contracts linked to the ED; and arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Where necessary takes care of logistics, arranges for meeting rooms, food service, supplies and other materials needed to support meetings.
Maintains accurate files and data records.
Undertakes background research, collecting and analyzing information as needed, in advance to develop, prepare and/or assemble necessary materials for meetings, including background information for projects, presentation decks, agendas, and other necessary materials.
Manages special projects for the ED and senior leadership team some of which may have organizational impact.

Senior Leadership and Board Support and Liaison:

Serves as the EDs administrative liaison to the JASS Board including maintaining discretion and confidentiality in relationships with all members.
Assists Board Co-Chairs as needed and supports the recruitment and orientation of new Board members.
Manages the scheduling and preparation for Board meetings including supporting the timely development and sending out of clear and concise materials. Manages virtual platforms, takes minutes, supports, tracks, follows up and ensures sound record keeping.
Provides logistical support for in person board, JLT and OMG meetings, including travel and accommodation arrangements, venue coordination, etc.
Coordinates JASS Leadership teams including agenda setting, scheduling and supporting preparation for meetings, ensuring information flow, taking notes, tracking and following up on action items.
Contributes to regularizing and maintaining the organizational cycle by scheduling and supporting preparation and logistics for virtual and in person team-building and all-staff meetings. Maintains an organization-wide calendar and works with staff on updates.
Increases the bandwidth of the ED and senior leadership by anticipating needs and taking ownership of planning and executing – where necessary acts as a “barometer,” having a sense of the issues taking place in the JASS ecosystem and updating.

QUALIFICATIONS & CORE COMPETENCIES OF OUR IDEAL CANDIDATE:

A deep desire to work in an organisation whose mission and culture are rooted in movement building, a centering of the majority world with an intersectional feminist and transformative approach to equity and justice.
High level of executive administration and project management skills, acquired through an accredited college and/or 5-7 years of relevant work experience.
A do-er with exceptional organizing, strategic thinking and analytical skills. Ability to hold the big picture, while never letting the details slip through the cracks.
Ability to achieve high-performance goals and meet deadlines in a fast-paced environment with a commitment to excellence on a consistent basis; to work independently and manage multiple demands with a combination of focus and agility.
Strong prioritization, active troubleshooting and propositional in solution making; balancing the needs and priorities of the ED with the needs of JASS.
Willing to play a high level support role with sound judgement and discretion; a good listener with a strong radar for sensing dynamics, tension points, opportunities.
Ability to manage sensitive matters with a high level of confidentiality and discretion.
An ability to work independently and remotely, across time zones, with flexibility in working hours as dictated by the needs of a Global organization.
Ability to interact with and build relationships with diverse sets of people, (including staff, board members, external partners and donors), in a confident, effective and professional manner while observing confidentiality where necessary.
English fluency and excellent written, oral and virtual communication, presentation and negotiation skills with an understanding of the importance of both method and timing in communication; Spanish fluency a strong plus. (JASS is a bilingual English-Spanish organisation and values language diversity).
Proficiency in Zoom, Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, web-based management tools and Social Media web platforms. Experience with creative platforms like Jamboard, Mentimeter a plus.

The salary range and benefits package is competitive for a manager-level position and will be based on location and experience.
