About Our Client: Headquartered in Cleveland, OH, our client is one of the only female- and minority-owned certified Small Business Enterprise (SBE) consulting firms based in the state. Their small but mighty team has gained a national reputation for communication and strategy development expertise and deep understanding of both policy and advocacy. Holding subject matter expertise in important issues such as early childhood, K-12 education, workforce development, Medicaid and health and human services, our client serves a client base including nonprofits, for profits, government agencies, and philanthropic organizations on a national scale. This 15-year-old company is comprised of a 100% virtual office environment.

Position Summary: We are looking for a seasoned administrative professional with a “whatever it takes to get it done” attitude to manage the rhythm of the firm. This person will handle a multitude of work ranging from executive assistant tasks, minor back-of-house operations, remote office management and administrative essentials relating to sales, business and HR efforts.

Responsible for facilitating efficiency in a fast-paced environment, the ideal candidate has a sharp eye for detail but is also quick to make decisions. This person is highly organized, forward-thinking, proactive, and solution-oriented. A self-starter with time management skills who can work from home productively with a 100% virtual team.

Job Functions:

  • Organize and lead administrative demands of the company – internally and externally
  • Provide remote office management to a team of ten virtual employees
  • Provide advance planning and on-the-go calendar management for four executives on a daily basis
    • Responsible for meeting coordination, and travel, including all logistics and detailed itineraries
    • Responsible for anticipating the needs of internal clients
  • Provide high-level administrative support to various client initiatives and business objectives (such as, but not limited to, managing communication and follow up with key client constituents, engaging appropriately with specific community members, running point on regulatory paperwork, etc.)
  • Serve as the liaison for vendor-partner relationships such as marketing consultancies, accounting firm, or others
  • Coordination, populating and filing of lobbying reports, registrations, small business registrations, and compliance documentation and applications in multiple states several times per year
  • Coordinate holiday party and logistics
  • Coordinate purchasing/shipping of holiday gifts
  • Maintain responsibility for miscellaneous operational work such as, but not limited to, managing content for templatized marketing vehicles, managing database system and website, conducting research, planning/organizing modest events, taking notes, etc.
  • Ability to handle workload comprised of sometimes broad, but often challenging, variety
  • Inherently able to be fluid and maintain stability despite fast-changing elements
  • Expectation to be accessible, and occasionally available outside of standard business hours

Ideal Candidate Qualities & Experience:

  • Prior on-the-job experience as an Executive Assistant, Administrative Assistant, Office Manager or similar is required
  • Bachelor’s Degree preferred but not required
  • Prior experience with significant projects of scale in non-profit, education or government sectors, preferred
  • Comfort/confidence corresponding and working with full spectrum of external constituents from community-based organizations and leaders, public officials, and more
  • Comfort/confidence in managing frequent change on behalf of others, as well as have the natural adaptability to shift and pivot often
  • Ability to juggle and prioritize a variety of tasks simultaneously
  • Strong computer skills, including proficiency in Microsoft suite of products
